<p>Position Title: Administrative Coordinator, Spiritual Development</p> <p>Basic Function and Responsibility: To provide project management and administrative support to the Dean of Spiritual Development, and Coordination for the Biola Shares program.</p> <p>Supervises/Manages: Chapel Accountability Grad Assistant; Front-Desk and Biola Shares Undergrad Student Interns</p> <p>Primary Responsibilities:</p> <p>1.Chapel Accountability (50%)</p> <p>Chapel Attendance & Compliance</p> <p>Maintain and manage the iAttended system to track chapel attendance and ensure students meet credit requirements.</p> <p>Oversee updates to student registrations, chapel waivers, and adjustments to chapel and conference requirements for specialized student groups (e.g., graduating seniors).</p> <p>Review and process attendance reduction requests and waivers, meeting with students as needed to address concerns and communicating with appropriate departments.</p> <p>Enforce chapel attendance policies, ensuring students maintain compliance and manage related disciplinary procedures.</p> <p>Process chapel fines and coordinate with Student Accounts to ensure proper enforcement.</p> <p>Maintain detailed records, manage tracking spreadsheets, and handle chapel-related inquiries from students and staff.</p> <p>Data Management and Logistics:</p> <p>Oversee maintenance of accurate and updated chapel and conference attendance records for approximately 4000 undergrad students attending an average of 24 events per semester.</p> <p>Maintain accurate and updated records related to chapel fines and reversals each semester.Monitor Chapel Accountability operating budget and related general ledger tracking and reporting.Research, implement, maintain and troubleshoot efficient electronic monitoring options that record student chapel attendance, to streamline financial costs and enhance student experience</p> <p>Customer Service:</p> <p>Provide support and service to undergraduate student, parent, and external organization inquiries (in person, via email or phone) concerning the status of their chapel attendance profile and related requirement questions</p> <p>Evaluate, research and render decisions on student appeals for chapel waivers</p> <p>Management</p> <p>Recruit, hire, train and supervise 4-5 undergraduate front desk and Biola Shares interns</p> <p>Coordinate Torrey Conference Volunteer Scanners and Ushers before and during the conference</p> <p>Participate in the spiritual growth, development, care and support of student workers and student leaders</p> <p>Cross-Department Collaboration:</p> <p>Maintain policies and procedures regarding the chapel requirement and failure to achieve the requirement, in collaboration with the accounting office.</p> <p>Provide support and service to academic departments requesting Department Chapel Credit, including chapel attendance reporting.</p> <p>Work with Missions Conference Staff early each Fall semester to offer recommendations for Missions Conference communication (website and brochure language), volunteer credit submissions and logistics for training and placing of volunteer chapel attendance</p> <ol start="2"> <li>Biola Shares Program (35%) </li></ol> <p>Recruit and train staff of 2 student interns to run the day-to-day processes of Biola Shares</p> <p>Develop and manage funding opportunities and fundraising activities for the program, including meal donation with Bon Appetit, food drives, clothing/item drives, partnerships with campus departments to support needs throughout the year (ex: partner with Residence Life when Cafeteria is closed for the holidays), and grant opportunities</p> <p>Run bi-weekly (every other week) Pantry, including purchase of food, advertisement, scanning/attendance, and in-person connections, averaging 120 participants each time</p> <p>Manage budgets to support annual work of the food pantry</p> <p>Develop and manage intake processes for students with more significant food, housing and other financial insecurities, ensuring they are connected to and utilizing resources in the local community. This includes maintaining awareness of local community resources</p> <p>Partner with departments across campus for collaborative provision of the Lending Library and clothing needs</p> <p>Develop partnerships with organizations off-campus to support the basic needs of students in need</p> <ol start="3"> <li>Spiritual Development Administrative Support (15%) </li></ol> <p>Administrative assistance to Spiritual Development staff:</p> <p>Support staff on correspondence, reports, appointment scheduling, purchasing supplies, mail sorting, printer and computer maintenance, travel booking, room reservations, purchase orders, etc.</p> <p>Maintain various communication platforms: Spiritual Development Website, Spiritual Development Chapel calendar, Chapel Manager, My Biola, Parent Newsletter articles to ensure appropriate education of the Biola Community on Spiritual Development offerings, including appropriate levels of communication to students, faculty, staff and parents</p> <p>Provide special event assistance as needed, including order and setup for supplies or refreshments for meetings, arrange logistics for office staff travel</p> <p>Supply dean with information, web-research, documents and briefs of various kinds as needed for meetings and strategic planning</p> <p>Accounting Management: carry out certain financial transactions, including reimbursements, requisitions, purchase orders, Comdata reports, Concur, etc.</p> <p>Identify opportunities for improving operational processes to improve performance and/or reduce costs in labor, printing, and supplies</p> <p>Assist student leaders with various purchasing, accounting, campus coordination and risk management forms.</p> <p>Torrey Conference support</p> <p>Work with the Dean of Spiritual Development and leadership of the department to oversee and execute the logistics and programs for the Torrey Memorial Bible Conference. This includes contracts with Legal, coordination with Facilities & Event Services, Chapel Accountability, worship teams, speakers, conference participants, volunteer staff and ushers, speaker care, additional resources, and Spiritual Development staff and student leaders.</p> <ol start="4"> <li>Other Tasks as Assigned: The role is fast-paced and integrative, which means he/she may be pulled into various committees, projects, meetings, processes and tasked with items that contribute to the overall mission of Spiritual Development. </li></ol> <p>Meet as needed with Dean and staff (for collaboration/communication purposes)Attend chapels as needed to carry out oversight.</p> <p>Supervision Received: The position reports to the Dean of Spiritual Development.</p> <p>Character and Skills Qualifications:</p> <p>?Mature, independent worker. Professional, composed. Flexible, works well with multiple tasks at once. Task oriented, able to work with minimum supervision, commitment to Christian Higher Education. Holds personal theological beliefs that are in agreement with the Biola Doctrinal Statement. Maintain a lifestyle consistent with sound Christian principles and standards of conduct promulgated by the institution.</p> <p>?Able to respect and uphold issues of confidentiality with poise, especially related to student concerns.</p> <p>?Excellent interpersonal skills and ability to work effectively and professionally with a wide variety of individuals.</p> <p>?Demonstrates ability to communicate professionally with others in person, by email, and on the phone; specifically displaying excellent written and verbal communication skills with strong editing/proofing skills.</p> <p>?Demonstrates cultural competence and humility with staff, faculty and students alike.</p> <p>?Should demonstrate high energy, inclusive and warm positive personality, and be an effective communicator of the strengths of Biola.</p> <p>?Ability to work well with others and function as a team member.</p> <p>?Able to work independently, managing his/her own workflow, prioritizing projects, and multi-tasking and planning for frequent deadlines.</p> <p>?Ability to exercise good judgment and discretion in job performance with a cheerful, courteous, and helpful attitude.</p> <p>?Able to maintain strict confidentiality</p> <p>?Excellent computer skills (proficiency in Google Suite, Microsoft Word, Excel, and Powerpoint a must).
