<p>Job Description:</p> <p>GENERAL STATEMENT OF DUTIES:</p> <p>The part-time administrative assistant assists with immunization compliance, student outreach, and other tasks in the Health Center. Schedule is 10-18 hours/week from May-September and 8 hours/week in other months. Position is ideal for person with desire to work more in the summer and less during the academic year. Job-specific training will be provided.</p> <p>EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:</p> <ul> <li>Review and maintain student immunization compliance records for consistency with Framingham State University and Commonwealth of Massachusetts requirements. </li><li>Notify students of compliance requirements; respond to student inquiries concerning compliance status via email, telephone, and in person; explain compliance policy and requirements to students; resolve issues that may arise concerning student immunization status compliance. </li><li>Serve as liaison to faculty, staff, and others regarding procedures and expectations related to student immunization compliance. </li><li>Provide outreach at student orientations and student move-in days and participate in various other events to answer questions regarding student immunization status and requirements. </li><li>Student orientations and move in days fall outside of regular business hours, including early evenings and weekends. This position will include approximately 5 early evening sessions of 2-3 hours as well as 3 weekend sessions of 2-3 hours during the summer. </li><li>Additional job-related Health Center duties as assigned by the University or the Health Center Director. </li></ul> <p>SUPERVISION RECEIVED:</p> <p>Director of the Health Center</p> <p>SUPERVISION EXERCISED:</p> <p>None</p> <p>WORKING CONDITIONS:</p> <ul> <li>The position is primarily office-based, requiring the employee to work indoors. </li><li>The role involves prolonged periods of sitting at a desk, working on a computer, and potentially lifting and carrying light objects. </li></ul> <p>WORK HOURS:</p> <p>May through September: 10-18 hours per week.</p> <p>During the academic year, the position hours decrease to 8 hours per week with possibility for additional hours occasionally.</p> <p>Infrequent early evening and weekend availability for pre-determined dates required.</p> <p>Requirements:</p> <p>MINIMUM QUALIFICATIONS:</p> <ul> <li>Associate's degree or higher </li><li>1-3 years work experience with administrative assistant functions </li><li>Experience with computer systems, including web-based and MS applications, including Outlook, Word, and Excel. </li><li>Effective verbal and written communication skills </li><li>Excellent customer service skills </li><li>Ability to maintain a positive and respectful demeanor in all interactions with colleagues and students </li><li>Meticulous focus on accuracy and confidentiality when handling data and records </li><li>Flexibility to handle changing situations and unexpected requests </li><li>Ability to work effectively independently and as part of a team </li></ul> <p>PREFERRED QUALIFICATIONS:</p> <ul> <li>Experience with Electronic Medical records, Medicat platform experience </li><li>Work experience in a medical office, school, or college-based health center </li><li>Experience or familiarity with immunization compliance </li></ul> <p>Additional Information:</p> <p>This is a part-time non-benefited, contract position, not to exceed 18 hours per week. The scheduled hours are flexible.
