<p>General Job Information</p> <p>Job Summary</p> <p>This position is in D.C. Fire and Emergency Medical Services Department, (FEMS) Fleet Management Division. The mission of the District of Columbia Fire and Emergency Medical Service Department (FEMS) is to preserve life and promote health and safety through excellent pre-hospital treatment and transportation, fire prevention, fire suppression, rescue activities and homeland security awareness.</p> <p>The incumbent serves as a Program Support Assistant responsible for providing a variety of clerical and administrative functions that are auxiliary to the supervisor's responsibilities in the management of the complete program. The incumbent uses considerable discretion and independent judgment in the performance of duties.</p> <p>Duties and Responsibilities</p> <p>Receives telephone calls and visitors of the Fire and Emergency Medical Services Fleet and Apparatus Division. Identifies the purpose of visitors' calls or business and takes appropriate action. Addresses various inquiries that require technical expertise and directs other questions to the appropriate office staff or external organizations as needed. Manages numerous information requests and helps resolve or assist in resolving various conflicts that may arise. Receives and screens incoming correspondence and determines appropriate action. Determines those that can be acted upon personally and takes necessary action. Directs correspondence needing supervisor's attention to the supervisor or other relevant staff members. Maintains control records on incoming correspondence and action documents and follows up on work in process to ensure timely reply or action. Performs administrative, program, and technical work to support the assigned program and its operations.</p> <p>Prepares, receives, reviews, and verifies office documents. Maintains general office files as well as a project calendar and informs staff of deadlines, other important dates, and similar administrative support work. Receives requests for information from other offices within the agency concerning programs(s) under the supervisor's control. Compose general correspondence pertaining to administrative matters (e.g., letters, memoranda, reports, etc.). Reviews correspondence and documents prepared for the signature of the supervisor or higher-level managers for correct format, grammar, punctuation, and any other special policy requirements. Coordinates corrective action with the appropriate official or office when errors are identified. Serves as liaison between the supervisor and departmental employees. Provides timely, accurate, and current information to them and other appropriate officials concerning required reporting requirements.</p> <p>Qualifications and Education</p> <p>Candidates must have Specialized experience that equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. To be creditable, one (1) year of specialized experience must have been equivalent to at least the next lower grade in the normal line of progression.</p> <p>License and Certification</p> <p>None.</p> <p>Working Condition/Environment</p> <p>Work is performed in an office setting that is adequately lighted, heated, and ventilated. Normal safety precautions are required.</p> <p>Other Significant Facts</p> <p>Duration of Appointment: Career Service - Regular Appt.</p> <p>Tour of Duty: 7:00am-3:30pm or 3:00pm-11:30pm</p> <p>Pay Plan, Series, Grade: CS-0303-09</p> <p>Promotional Potential: No Known Promotion Potential</p> <p>Collective Bargaining Unit: This position is covered under a collective bargaining unit AFGE 3721 and you may be required to pay an agency service fee through direct payroll deduction.</p> <p>Position Designation: Position Designation: This position is designated as a Safety Sensitive position and is subject to mandatory pre-employment and periodic Criminal Background Checks and Traffic Records Checks (as applicable). This position is also subject to mandatory pre-employment and random Drug and Alcohol Testing. Safety-sensitive positions, including those for which testing is required by law, are subject to the following drug and alcohol tests: (1) pre-employment, (2) random, (3) reasonable suspicion, (4) post-accident or incident, and (5) return-to-duty or follow-up. The position that you have been appointed to or occupy and which is listed above is designated as safety-sensitive and is therefore subject to drug and alcohol testing.
