<p>Basic Function and Responsibility:</p> <p>This position assists and coordinates office and administrative services for the Department of Kinesiology and Public Health and the Department of Occupational Therapy. The Academic Coordinator directly supports the School of Science, Technology and Health, the departments of KPH and OT, faculty and student needs of these programs.</p> <p>Essential Duties:</p> <p>Faculty Support</p> <p>? Provide administrative support for the KPH Chairs, MPH director and OT director.</p> <p>? Provide administrative support for department and program faculty</p> <p>? Manage, coordinate and process the applications of adjunct faculty.</p> <p>? Assist faculty with their calendars.</p> <p>? Supports full-time and part-time faculty with a variety of course-related tasks (e.g., textbook orders, desk copies, library copies, grade submission, class evaluations).</p> <p>? Serves as an Accessibility Point Person for faculty, checking course materials for accessibility.</p> <p>Academic Support</p> <p>? In coordination with the Department Chair and the Dean's Office, schedules courses for the department and programs, ensuring appropriate seat and classroom availability.</p> <p>? Manage department course scheduling, arranged courses, substitution requests, WCR, registration overrides, facilities and campus coordination requests.</p> <p>? Monitor enrollment and coordinate enrollment requirements with respective faculty.</p> <p>? Review and revise class descriptions for annual university catalog revisions.</p> <p>? Prepare and track all accounting documents, such as Reimbursement Requests, Journal Entries, Journal Receipts, Compensation Requests, and assisting with Concur.</p> <p>? Performs clerical work for the office (e.g. photocopying, shredding, ordering supplies, filing).</p> <p>? Assisting the faculty in the Graduation applications process</p> <p>? Track student progress in relation to program requirements and communicate with students about any academic deficiencies or issues to make sure students are clear to graduate. Track students UG PH students interested in transitioning to the MPH program after graduation.</p> <p>? Order and maintain office supplies for the department</p> <p>? Maintain syllabi repositories.</p> <p>? Supervise and delegate tasks to student workers.</p> <p>? Perform other duties as assigned.</p> <p>Department Support</p> <p>? Greet visitors, answer the phone, and schedule appointments. Answer questions and connect students, faculty, and visitors to resources.</p> <p>? Work with Biola Admissions to schedule faculty appointments/tours.</p> <p>? Coordinate program/department events including - making room reservations, distributing the agenda and faculty assignments, advertising to students, and ordering catering, managing RSVPs, creating programs/slide decks, and ordering supplies while staying within budget.</p> <p>? Maintain the department Instagram account and canvas shells (KPH and MPH)</p> <p>? Oversee the application process for grad programs (MSOT and MPH)</p> <p>? Oversee the check-out and check-in process for department keys to faculty and adjuncts and records. Submit card reader access for Soubirou.</p> <p>? Manage and distribute the Risk and Release forms for Activity and Lab courses to faculty and adjuncts and working with legal department to make sure they are up to date.</p> <p>? Oversee the various labs in Soubirou pertaining to the programs.</p> <p>? Work with AD to track expenses on program budgets</p> <p>? Additional duties as assigned by the PC and directors.</p> <p>Student Support</p> <p>? Provide academic advising services to address curriculum questions raised by students and other departments.</p> <p>? Assist students with scheduling, including late adds, drops, and overrides.</p> <p>? Maintain up-to-date program information to assist students in the registration process.</p> <p>? Assist students with class schedules and degree planning.</p> <p>? Proctor individual exams with students inside the office as needed by faculty.</p> <p>School Support</p> <p>? Assist the EA in the hiring process of adjuncts for the department as well as onboarding requirements for new faculty.</p> <p>? Additional duties as assigned by the EA and AD.</p> <p>Supervision Received:</p> <p>Primary Supervisor: Executive Assistant (EA) to the Dean of SSTH</p> <p>Secondary Supervisor: Program Chair/Director of assigned program(s)</p> <p>Qualifications</p> <p>? Excellent written and verbal communication skills</p> <p>? Ability to work independently</p> <p>? Ability to maintain accurate records and complete projects with attention to detail</p> <p>? Ability to manage multiple projects at the same time, and prioritize projects by importance as identified by EA and department chair</p> <p>? Ability to receive and implement suggestions from supervisor</p> <p>? Ability to relate well to students, co-workers, and faculty</p> <p>? Candidate should be dependable, hospitable, honest, and service-oriented</p> <p>? Awareness, sensitivity, and discretion in relation to confidentiality issues</p> <p>? Strong writing, organizational, and time management skills</p> <p>? Proficiency in Microsoft Word, Google Drive, and Google Docs</p> <p>Education: Bachelor's degree or two years of college education with 2 years of previous administrative experience</p>
