<p>Basic Function and Responsibility:</p> <p>[Enter one paragraph summarizing basic functions and responsibilities of the job.]</p> <p>Essential Duties:</p> <p>Gift Operations</p> <p>Oversee the accurate and efficient processing, crediting, and receipting of gifts and pledges to the University, including contributions made online, by check, wire, securities, journal vouchers, recurring giving and other emerging methods</p> <p>Supervise and manage student employees on all tasks and projects performed, including establishing priorities and ensuring that all goals and deadlines are met on or ahead of schedule</p> <p>Review recorded gifts and receipts to ensure all transactions are accurately recorded and appropriately receipted and acknowledged, in coordination with Donor Relations</p> <p>Approve modifications to gifts and pledges and oversee the correction process to ensure the accuracy of gift and pledge adjustments</p> <p>Provide outstanding customer service to both internal and external constituencies for gift-related inquiries</p> <p>Manage and maintain the matching gift process</p> <p>Provide oversight of the production of Annual Fund Reconciliation Report, Pledge Report, Major Gift Report and other reports as requested by Advancement Leadership and the Finance department</p> <p>Perform gift analysis and entry procedures and process daily gift batches in a timely and accurate fashion</p> <p>Collaborate with the Annual Giving & Engagement Manager to ensure Fundraising Requests are inline with our donation processing procedures</p> <p>Oversee and track the Fundraising Credit Card Processing fees for Fundraising Requests and events that benefit departments outside of Advancement</p> <p>Analyze gifts to determine appropriate campaigns, funds, appeals for each gift to be processed; select appropriate acknowledgement letter based on the above criteria and the source of the gift</p> <p>Process event registrations</p> <p>Process credit card donations received via phone, mail and online utilizing PCI compliant procedures</p> <p>Collaborate with the Advancement Communications Coordinator to create and maintain a gift processing and event appeal calendar, creating and documenting appeals as needed</p> <p>Maintain donor confidentiality</p> <p>Reporting</p> <p>Produce and distribute monthly donation reports as needed for various departments</p> <p>Produce monthly Deceased reports and distribute them as needed</p> <p>Non-Essential Duties:</p> <p>Update constituent information in the database as needed</p> <p>Be cross-trained on all aspects of Advancement operations and work in conjunction with other team members during peak times</p> <p>In collaboration with colleagues in Advancement Operations, document departmental policies and procedures and update the department's manual describing gift and pledge processing policies, procedures, and systems</p> <p>In collaboration with colleagues in Advancement Operations, seek continuous process improvement by proactively and continually assessing workflows to identify opportunities for increased efficiency and data integrity</p> <p>Perform related duties as assigned</p> <p>Supervision Received:</p> <p>Senior Director of Advancement Operations</p> <p>Qualifications</p> <p>General: [Enter general previous experience this person would need to have as well as personality traits the person should possess. Some examples would be: Dependability, integrity, and ability to receive and implement suggestions from supervisors, awareness, sensitivity and discretion in relation to confidentiality issues.]</p> <p>Self-initiating person, organized and able to work independently with minimal supervision</p> <p>Direct knowledge and experience with relational databases such as Raiser's Edge or pro-certification within 3 months of hire</p> <p>Extensive knowledge and experience with Excel</p> <p>Ability to work occasional evenings and weekends during peak processing seasons at calendar year-end (mid- December to mid-January) and fiscal year-end (late June to early July)</p> <p>Ability to think strategically about complex issues and to work with multiple resources to find solutions</p> <p>Meticulous attention to detail and the ability to track multiple deadlines at once</p> <p>Must be able to maintain confidentiality</p> <p>Experience in higher education is strongly preferred</p> <p>Direct experience with Raiser's Edge database is strongly preferred</p> <p>Be a cooperative member of the Office of University Advancement.</p> <p>Maintain a lifestyle consistent with sound Biblical principles and standards of conduct in alignment with the Biola University Articles of Faith, actively pursuing Christ-like maturation in your life.</p> <p>Understand that the Biola Statement of Principles reflect the unwavering convictions of the University, and desire to work in an educational community where these principles are embraced and taught</p> <p>Education:</p> <p>Bachelor's degree</p> <p>Skills:</p> <p>Strong verbal and writing skills</p> <p>High attention to detail and follow-up</p> <p>Excellent organizational skills</p> <p>Superior skill to establish priorities, organize tasks, and direct effective implementation of tasks in a high-pressure environment</p> <p>Excellent telephone skills</p> <p>The ability to work well with students and co-workers</p>
