We are pleased that you are interested in career opportunities offered at MICA.</p> <p>Job Title: Associate Registrar</p> <p>Department: Enrollment Services</p> <p>Division: Admission & Financial Aid</p> <p>FLSA Status: Full-Time, Exempt</p> <p>Union: NA</p> <p>Grade: 8</p> <p>Salary Range: $ 66,000 - $82,400</p> <p>Reports to (Position Title): Senior Director Enrollment Services & Registrar</p> <p>General purpose: The Associate Registrar at MICA is a strategic leader responsible for overseeing all aspects of academic records and registration services. This role plays a central part in ensuring the integrity, security, and accuracy of student academic records while fostering a culture of service excellence, innovation, and inclusive excellence. The Associate Registrar ensures compliance with federal and state regulations, including FERPA, and supports data-informed decision-making across the institution. This role is also instrumental in implementing technological advancements that enhance student experience and operational efficiency.</p> <p>Essential Duties & Responsibilities:</p> <p>Academic Records Management Oversight</p> <ul> <li> <p>Maintain the accuracy, integrity, and confidentiality of undergraduate academic records in compliance with institutional policies and FERPA.</p> </li><li> <p>Oversee student registration, grade processing, academic standing, degree conferral, transcript issuance, and diploma distribution.</p> </li><li> <p>Supervise the evaluation and articulation of transfer credits, including AP, IB, and study abroad coursework.</p> </li><li> <p>Lead the production of academic calendars, course catalogs, and course scheduling in collaboration with academic and Executive leadership.</p> </li><li> <p>Develop and implement registration and graduation policies and procedures aligned with institutional goals.</p> </li><li> <p>Oversee use and optimization of PeopleSoft, Degree Audit, Canvas, and related systems.</p> </li></ul> <p>Compliance & Reporting</p> <ul> <li> <p>Ensure compliance with federal, state, and accreditation standards, including FERPA, IPEDS, MHEC, Middle States, and Veterans Affairs.</p> </li><li> <p>Lead institutional enrollment and degree reporting, including partnerships with the National Student Clearinghouse.</p> </li><li> <p>Coordinate records retention and data governance practices per state and institutional guidelines.</p> </li><li> <p>Serve as a key campus resource on academic policies and compliance issues.</p> </li></ul> <p>Leadership and Administration</p> <ul> <li> <p>Support strategic direction in partnership with the Senior Director & Registrar of Enrollment Services for registrar staff, fostering a team-oriented and service-driven environment.</p> </li><li> <p>Manage departmental budget and resources efficiently.</p> </li><li> <p>Support student success and retention efforts through collaborative work with academic and administrative partners.</p> </li><li> <p>Represent the Registrar's Office in institutional committees related to academic policy, curriculum, and enrollment management.</p> </li><li> <p>Collaborate across departments to integrate technology solutions that improve service delivery and support academic progression.</p> </li></ul> <p>Other Duties</p> <ul> <li> <p>Coordinate components of the annual Commencement ceremony with Academic Affairs.</p> </li><li> <p>Participate in professional development and serve on regional or national associations as appropriate.</p> </li><li> <p>Support special projects and strategic initiatives as directed by the Senior Director & Registrar of Enrollment Services or the Provost.</p> </li><li> <p>Perform other related duties as assigned</p> </li></ul> <p>Knowledge, Skills, and Abilities</p> <ul> <li> <p>Excellent written and verbal communication skills; ability to communicate complex information clearly.</p> </li><li> <p>High level of diplomacy and professionalism in handling sensitive situations.</p> </li><li> <p>Strong analytical, organizational, and project management abilities.</p> </li><li> <p>Demonstrated leadership in managing diverse teams and building effective collaborations.</p> </li><li> <p>Expertise in academic policy interpretation and application.</p> </li><li> <p>Proficiency with databases, spreadsheets, reporting tools, and student records platforms.</p> </li><li> <p>Ability to operate effectively in a fast-paced, highly regulated environment.</p> </li><li> <p>Commitment to equity, inclusion, and excellence in service to students, faculty, and staff.</p> </li></ul> <p>Minimum qualifications:</p> <ul> <li> <p>Bachelor's degree in Education, Higher Education, Administration or related field</p> </li><li> <p>A minimum of five (5) years of progressively responsible experience in higher education, with leadership in academic records or registrar functions.</p> </li><li> <p>Demonstrated experience working with student information systems (PeopleSoft preferred) and degree audit tools (e.g., DegreeWorks).</p> </li><li> <p>Strong knowledge of FERPA and related compliance frameworks.</p> </li></ul> <p>Preferred Qualifications:</p> <ul> <li> <p>Master's degree in Education, Higher Education, Administration or related field</p> </li><li> <p>Eight (8) years of experience in registrar or academic records operations.</p> </li><li> <p>Experience managing curriculum systems, academic scheduling, or other student information systems.</p> </li><li> <p>Familiarity with Workday Finance/HR, PeopleSoft Student and advanced data reporting tools.</p> </li><li> <p>Proven track record in systems integration and administrative innovation.</p> </li><li> <p>Experience leading audits and compliance reporting (e.g., IPEDS).</p> </li></ul> <p>Reporting to this position: None</p> <p>Conditions of Employment:</p> <ul> <li>Satisfactory Background Check </li></ul> <p>Physical demands and work environment: The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
