This role is essential in managing fast-paced demands across business operations, nonprofit leadership, and personal brand development. The ideal candidate thrives in a dynamic environment, brings strong initiative, and demonstratesexceptional communication, coordination, and decision-making abilities.</p> <p>Key Responsibilities</p> <p>1.?Strategic Calendar & Schedule Management</p> <ul> <li> <p>Manage complex, rapidly evolving calendars with precision and foresight.</p> </li><li> <p>Schedule and prioritize meetings, events, and travel aligned with organizational and nonprofit priorities.</p> </li><li> <p>Anticipate conflicts and proactively resolve scheduling challenges.</p> </li></ul> <p>2.?Communication, Correspondence & Executive Gatekeeping</p> <ul> <li> <p>Draft, edit, and manage emails, reports, memos, and sensitive correspondence.</p> </li><li> <p>Act as a liaison between the VP and internal teams, nonprofit boards, partners, and external stakeholders.</p> </li><li> <p>Ensure consistent, timely, and professional communication on behalf of KenzieVath.</p> </li></ul> <p>3.?Meeting & Project Coordination</p> <ul> <li> <p>Organize executive meetings including agendas, briefings, presentations, and materials.</p> </li><li> <p>Document meeting outcomes, track follow-ups, and ensure alignment with action items.</p> </li><li> <p>Support strategic projects with task tracking, deadline coordination, and departmental collaboration.</p> </li></ul> <p>4.?Travel & Event Logistics</p> <ul> <li> <p>Plan and book comprehensive travel arrangements including flights, accommodations, and local transportation.</p> </li><li> <p>Coordinate and manage events such as fundraisers, board meetings, offsites, and speaking engagements.</p> </li><li> <p>Oversee venue logistics, run of show, vendors, and on-site support.</p> </li></ul> <p>5.?Information & File Management</p> <ul> <li> <p>Maintain organized, secure, and accessible systems for documents, contracts, and reports.</p> </li><li> <p>Ensure timelyretrieval and management of confidential materials.</p> </li><li> <p>Support research and information-gathering efforts to inform decision-making.</p> </li></ul> <p>6.?Nonprofit & Program Support</p> <ul> <li> <p>Support the operations of Impact100OC, Global Lyme Alliance, and other philanthropic initiatives.</p> </li><li> <p>Assistin managing budgets, tracking donations, and preparing documentation for board and public reporting.</p> </li><li> <p>Collaborate on program implementation with nonprofit partners, stakeholders, and volunteers.</p> </li></ul> <p>7.?Marketing, Content & Media Coordination</p> <ul> <li> <p>Assistwith managing content calendars and digital assets for brand-related initiatives.</p> </li><li> <p>Support podcast scheduling, guest coordination, and media follow-up.</p> </li><li> <p>Coordinate publishing timelines, promotional materials, and book launch logistics.</p> </li></ul> <p>8.?Community Relations & Stakeholder Engagement</p> <ul> <li> <p>Represent Kenzie Vathat community events, panels, and networking engagements.</p> </li><li> <p>Maintain relationships with external partners, civic organizations, and media outlets.</p> </li><li> <p>Amplify brand, nonprofit, and project visibility through effective stakeholder outreach.</p> </li></ul> <p>9.?Fundraising & Donor Development</p> <ul> <li> <p>Coordinate annual fundraising campaigns, donor outreach, and stewardship.</p> </li><li> <p>Maintain donor CRM systems and track correspondence, pledges, and acknowledgments.</p> </li><li> <p>Support the preparation and submission of grant materials and funding reports.</p> </li></ul> <p>Qualifications & Attributes</p> <ul> <li> <p>Bachelor's degree preferred;experience in executive support, nonprofit, or communications is a plus.</p> </li><li> <p>Minimum of 5 years supporting senior leadership in a complex, fast-moving environment.</p> </li><li> <p>Excellent proficiencyinMicrosoft suite,Google Workspace, project management software,plusif you have Smartsheet'sexperienceand ChatGPT prompting experience.</p> </li><li> <p>Strong written communication, organizational, and problem-solving skills.</p> </li><li> <p>High integrity, adaptability, and a proactive mindset.</p> </li></ul>
