<p>Posting Number: 20254355S Position Title: Assistant Director, College Technology & Operations Position Type: Staff Location: Villanova, PA Recruitment Type: Internal/External Applicants Work Schedule: full-time/12-months Avg Hours Week Department: 576-Dean, Professional Studies Position Summary:</p> <p>As a key member of the College of Professional Studies (CPS), the Assistant Director of College Technology and Operations plays a crucial role in providing technological and operational support to the Associate Director of College Data & Technology under the supervision of the Director, College Operations, ensuring alignment with UNIT technology and services policies and standards, as well as university-wide data governance policies. This position is responsible for managing, developing, maintaining, and optimizing CPS's technology environment, including enrollment and information systems, within the broader UNIT technology framework and in adherence to UNIT standards and policies. The Assistant Director will coordinate new technology projects in areas such as recruiting, admissions, and student services, working with UNIT and college leaders to ensure seamless integration, functionality, and alignment with institutional technology standards.</p> <p>Additionally, this role coordinates & facilitates training sessions and offers software support tailored to college specific needs, and may partner with UNIT to develop new training programs, enhance existing ones, or offer them to the broader university as needed. The Assistant Director collaborates on new projects to enhance the College's enrollment and information systems, and is responsible for implementing continuous improvement efforts to current systems to align with best practices, UNIT standards, and university-wide governance policies.</p> <p>Duties and Responsibilities:</p> <p>ENROLLMENT & DATABASE SYSTEMS MANAGEMENT</p> <ul> <li>Manages and implements standardized use of technology across the student lifecycle (such as CRM Technolutions Slate, Banner, Softdocs, Argos, Data Transfer, Cognos, Sharepoint, DegreeWorks, E-Commerce, Etc.) for the College of Professional Studies & any supporting partner programs ensuring alignment with UNIT standards and institutional IT policies. </li><li>Provides technical support & oversight for all processes related to the college's enrollment system and associated university systems (including, but not limited to Technolutions Slate, Avochato, AEM, Banner admissions module, and data transfer.) ensuring alignment with UNIT standards and institutional IT policies. </li><li>Supports the administration and maintenance of all electronic records within Slate and Banner, in conjunction with Associate Director, College Data & Technology and the Assistant Director, Student Services while ensuring compliance with institutional data policies, security standards, and data integrity best practices as established by UNIT and the Data Governance Board (DGB). </li><li>Creates and executes data audits to ensure data integrity, adhering to university-wide data governance policies. Works with UNIT to ensure accuracy of data flow from Slate to Banner. </li><li>Manages technical processes related to payment gateways for CRM and event management. Assist Finance and Administration team with reporting requests related to the transfer of funds from CRM to Banner on to the student record. </li></ul> <p>TECHNOLOGY SUPPORT & TRAINING</p> <ul> <li>Manages the completion of all technology requests, ensuring timely and efficient resolution to support the College's operational needs in collaboration with the Associate Director, College Data & Technology </li><li>Collaborates with UNIT on department related technology challenges. Submits Unit tickets. </li><li>Engages with College & University staff in problem resolution, process redesign, and technical support as related to admission systems and best-practices. </li><li>Trains, supports and acts as a resource to all CPS staff in use of all information technology systems in the College. </li><li>Guides new technology onboarding processes in conjunction with the Associate Director, College Data and Technology as well as explores and advocates for new technology onboarding when identified and needed, ensuring UNIT is involved early in the process and alignment with UNIT standards.. </li><li>Manages administration and creation of college SharePoint sites, college inboxes and access. Liaises with teams to grant appropriate access. Maintains any operational type 2 accounts. </li><li>Creates and maintains documentation of all technological systems and related policies and processes for use as job aids for others in the college to reference while ensuring compliance with institutional data policies, security standards, and data integrity best practices as established by UNIT and the Data Governance Board (DGB). </li><li>Assist with special projects related to Slate, SharePoint, Microsoft Flow, Zoom and other applications. </li></ul> <p>REPORTING</p> <ul> <li>Builds and maintains queries and reports in CRM for strategic level analysis & decision making for College leadership. Ensures the accuracy of reports. </li><li>Creates & validates report requests for academic review and distributes to appropriate team leaders. </li><li>Trains appropriate and identified college team members on how to use reporting tools and manipulate reports once built. Assists as needed. </li></ul> <p>CROSS DEPARTMENTAL & CROSS SCHOOL/UNIVERSITY COORDINATION</p> <ul> <li>Represents the college on University Technology & Operations Groups across campus (Campus-wide Slate Users Group, etc.) as deemed appropriate. Advocates for the College's needs and collaborates with counterparts to create and establish university-wide norms and disseminates best practices for shared systems. </li><li>Serves as a technical liaison with UNIT, collaborating on projects and implementing strategies to enhance CPS engagement with university IT initiatives as appropriate. </li></ul> <p>ADDITIONAL RESPONSIBILITIES</p> <ul> <li>Performs additional duties and assists with special projects as assigned. </li><li>Some regional and/or national travel required. Occasional evening and weekend work required to serve the needs of the student population. </li></ul> <p>Minimum Qualifications:</p> <p>Formal Education:</p> <ul> <li>Undergraduate degree required </li></ul> <p>Work Experience:</p> <ul> <li>Minimum three (3) years of experience in information technology and systems, or minimum three (3) years of experience in an Enrollment Management office with technology experience and ability to learn quickly. </li><li>Experience in CRM administration and/or database administration. </li><li>Experience in managing technology related projects. </li><li>Experience in working with hardware and software applications. </li></ul> <p>Work Skills (e.g., written and verbal communication skills):</p> <ul> <li>Excellent written and verbal communication skills. Strong organizational skills along with an approachable, upbeat and highly professional demeanor required. Must be a team player with a proven ability to maintain the highest level of confidentiality, and attention to detail. Ability to handle a fast-paced environment and manage multiple projects/tasks with varied deadlines. Must be poised with strong customer service skills and be able to work independently and use initiative and creativity to overcome obstacles and complete assigned tasks within allotted time. Strong interpersonal communication skills and the ability to work effectively with outside vendors, faculty, staff, and students. Ability to work part of a team and support all aspects of functions of the College of Professional Studies. </li></ul> <p>Specific Job Knowledge (e.g., knowledge of principles and procedures related to field and area):</p> <ul> <li>Must have an analytical and technical mindset and strong understanding of fundamental technical strategies and systems and processes. </li><li>Experience in project management </li><li>Proficiency in all standard computer applications, including Microsoft office products, particularly Microsoft Word, and Excel. </li></ul> <p>Equipment Knowledge:</p> <ul> <li>PCs, printers, software and hardware required in technical functions across the student life-cycle. </li></ul> <p>Other:</p> <ul> <li>The individual must have a deep commitment to the University's Catholic/Augustinian heritage, and the advancement of its mission, and to serving the needs of a diverse community. </li></ul> <p>Preferred Qualifications:</p> <p>Formal Education:</p> <ul> <li>Master's Degree preferred. </li></ul> <p>Specific Job Knowledge (e.g., knowledge of principles and procedures related to field and area):</p> <ul> <li>Knowledge of Technolutions Slate or similar CRM. Knowledge of Ellucian Products (i.e. Banner), Argos, Helio Campus, Tableau, PowerBI preferred. Knowledge of statistical analysis and reporting preferred. Basic knowledge of SQL and other programing languages is preferred. </li></ul> <p>Physical Requirements and/or Unusual Work Hours:</p> <ul> <li>Some regional and/or national travel required.
