<p>Description</p> <p>Lift UP is hiring an Executive Assistant to support essential administrative, financial, and HR functions as we expand to meet the rising need for fresh food access in Portland.</p> <p>This role is ideal for someone passionate about Lift UP's mission, with strong administrative skills, who is detail-oriented, and excited to contribute meaningfully to a small but growing team.</p> <p>Food brings us together. As a top-tier partner of the Oregon Food Bank, we provide nutritious food access, teach cooking skills and basic nutrition education, and use food to build community, strengthen social connections, and support long-term stability.</p> <p>Lift UP addresses our neighbors' immediate needs by distributing 1 million pounds of fresh, culturally relevant food across our community each year. We also lead the Coalition to Advance Food Equity (CAFE), a collaboration of partner organizations focused on sharing resources, coordinating distribution, and strengthening food systems. Through shared purchasing, farm partnerships, and local advocacy, collectively we are increasing access, reducing waste, and expanding impact across the Metro region.</p> <p>We envision a Portland where everyone has consistent access to nutritious food and meaningful connections. We recognize that structural inequities are a root cause of hunger and believe that access to abundant, nutritious, culturally relevant food is a human right. We are committed to advancing food justice through low-barrier, dignified services, and advocating for systemic solutions to reduce hunger long term.</p> <p>At Lift UP, food is more than a basic need - it is nourishment, dignity, and belonging.</p> <p>Summary of Position</p> <p>Provide administrative support to the Executive Director, supporting Lift UP staff as assigned. Manage essential payroll, financial, IT, scheduling, and data functions of Lift UP. Enhance efficiency by improving systems and processes. Contribute to the success of programs in a strong, positive, team-oriented environment.</p> <p>Essential Responsibilities</p> <ul> <li>Assist Executive Director with Board related administrative needs, including notetaking, tracking, records management, scheduling, and preparing the monthly Board report. </li><li>Prepare monthly financials for bookkeeper. </li><li>Complete monthly financial reconciliation of Quickbooks and Salesforce records. </li><li>Assist with donation data entry, management, and reports in Salesforce. </li><li>Assist with scheduling and coordinating logistics for meetings. </li><li>Assist with payroll and HR compliance as needed. </li><li>Maintain IT and equipment records. </li><li>Collaborate on special projects, such as program evaluation, budgeting, strategic planning, and preparing the annual report. </li><li>Receive, sort, and route mail; assist with bulk mailings and process outgoing mail. </li><li>Prepare checks for payment of vendors. </li><li>Receive and distribute info@lifturbanportland.org emails. </li><li>Assist staff with compiling and analyzing program data as needed. </li><li>Perform other clerical and administrative duties as needed, such as conducting research, filing, copy-editing, photocopying, and collating. </li></ul> <p>Required Skills & Experience</p> <ul> <li>Commitment to Lift UP's mission to reduce hunger. </li><li>Strong organizational skills, detail-oriented and thorough. </li><li>Proficient with Windows Office Suite (MS Word, Excel, Outlook, Publisher) </li><li>Absolute commitment to confidentiality. </li><li>Consistently meets deadlines. </li><li>Solution-oriented and creative problem-solver. </li><li>Strong interpersonal, verbal and written communication skills. </li><li>Able to multi-task and to respond to continually changing priorities. </li><li>Able to work well independently and effectively manage time. </li><li>Able to work well in a small team environment and support projects as needed. </li><li>Experience with database management, specifically Salesforce and/or Quickbooks, preferred. </li></ul> <p>Listing Type</p> <p>Jobs</p> <p>Categories</p> <p>Clerical/Administrative | Finance | Human Resources | Nonprofit | Office</p> <p>Position Type</p> <p>Part Time</p> <p>Experience Level</p> <p>Entry Level</p> <p>Employer Type</p> <p>Direct Employer</p> <p>Salary Min</p> <p>25</p> <p>Salary Max</p> <p>25</p> <p>Salary Type</p> <p>/hr.</p>
