<p>This is a Non-Civil Service position with Metro Action Commission. This position provides high level administrative, technical, and analytical support to the Head Start/Early Head Start program. Upholds the Mission, Vision, and Core values of the Metropolitan Action Commission including exemplary internal and external customer service, team work, and treatment of all persons with respect, dignity, and compassion.</p> <ul> <li>Performs office manager duties for the Head Start/Early Head Start department with specific administrative support to the program director. </li><li>Researches and gathers statistical, financial, and related data used for planning and decision making for a specific program or project. </li><li>Develops and recommends courses of action available to the department and analyzes their probable consequences. </li><li>Prepares concise reports on programs or projects. </li><li>Handles all reception efforts and answers phones. </li><li>Advises interested families regarding the program and its services, as well as other agency resources and support. </li><li>Enters requisitions for services and supplies and keeps detailed records of purchases. </li><li>Facilitates proper storage of all child and Head Start files and coordinates with records management. </li><li>Prepares meeting agenda and minutes. </li><li>Maintains updated documentation of meeting content and attendance. </li><li>Functions as liaison between the program and vendors. </li><li>Supports the preparation of board reports and written communications to parents regarding closures, transitions, and other events. </li><li>Supports the preparation and submission of grant applications. </li><li>Manages program director's calendar. As directed, writes correspondence on behalf of the program director. </li><li>Facilitates communication between the program director, program team members, agency departments, and the MAC leadership team. </li><li>Prepares and maintains documents for program events. (i.e., program planning retreats, summer training, meetings, etc.). </li><li>As directed, takes the lead on specific office projects. </li></ul> <p>Bachelor degree from an accredited college or university and three (3) years of administrative support experience. Valid Driver License.</p> <p>Official College Transcripts- If you wish to qualify, we need a copy of your official college transcript sent from the university or college.</p> <p>Candidates with accreditations earned in a foreign institute are encouraged to apply.</p> <p>Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.</p> <ul> <li>Knowledge and operation of computer and general office equipment. </li><li>Experienced in compiling and analyzing data. </li><li>Possess or develop a basic knowledge of DHS Licensure and Head Start Performance Standards. </li><li>Experienced working with confidential information. </li><li>Knowledge of proper reception and phone etiquette. </li><li>Experienced with keeping precise and accurate records. </li></ul> <p> </p> <p>Be advised that ALL candidates for ANY position with the Metropolitan Action Commission will be subject to a background check.</p> <p> The Metropolitan Government of Nashville and the Metropolitan Action Commission are equal opportunity employers.
