Consistently recognized as a firm that stands up for its values with its commitment to justice and community service, Jenner has been named the No. 1 pro bono firm 13 times in the United States by The American Lawyer.</p> <p>POSITION SUMMARY</p> <p>The Manager of Administration, working under the supervision of the West Coast Director of Administration, manages the day-to-day operations of our Downtown Los Angeles and Century City offices. The position is responsible for the reception, hospitality, facilities, and administrative support functions, including supervision and management of these teams, including talent and performance management.</p> <p>ESSENTIAL JOB FUNCTIONS</p> <ul> <li>Provides managerial guidance, overseeing service standards and ensuring that services are rendered promptly, accurately and professionally. Maintains and monitors metrics, service delivery, and team objectives. </li><li>Manages the Downtown Los Angeles and Century City Operations team to ensure meticulous maintenance of all office space, work areas, common areas, conference space, and other areas; trains team to recognize and respond to service needs and objectives. </li><li>Collaborates closely with Information Technology to ensure meticulous maintenance and upkeep of all conference rooms, including all firm assets. </li><li>Works with timekeepers to understand support needs, and develops teams to meet and exceed those needs; </li><li>Develops and manages a high performing team through mentorship, guidance, and timely effective feedback. </li><li>Ensures that direct reports are knowledgeable and trained on professional and technical matters; develops skills and service capabilities, including coordinating appropriate cross training. </li><li>Prepares timely, substantive, and strategically aligned performance evaluations. </li><li>Provides direct and substantive orientation for new staff; approves time off requests, creates schedules to ensure coverage, monitors attendance, and other tasks that ensure proper staffing levels and job performance are maintained at high levels. </li><li>Manages workflow coordination, including overflow assignments and backup support. </li><li>Ensures Firm policies and practices are followed; promotes consistency and fairness, maintains open door policy and promotes open dialog. </li><li>With Director of Administration, ensures department is structured and staffed effectively to meet best in class service objectives. Regularly reviews and updates position descriptions for staff. </li><li>Participates in recruiting for department, coordinating with HR; assists in drafting position descriptions for open positions. </li><li>With Director of Administration, develops and oversees safety, security, and emergency preparedness and business resumption systems. </li><li>Actively participates in management of the Downtown Los Angeles and Century City offices and supporting firm-wide initiatives. </li><li>Works closely with and serves as backup for the West Coast Director of Administration. </li></ul> <p>QUALIFICATIONS AND REQUIREMENTS</p> <ul> <li>Bachelors degree preferred. Five or more years experience managing a full-service internal client service / professional services organization preferred. </li><li>Previous experience supporting attorneys and case teams as a Legal Secretary or Paralegal highly desirable. </li><li>Regular and frequent local travel between Downtown Los Angeles and Century City offices required. </li><li>Exceptional team management and leadership skills, ability to lead through influence and in building relationships across boundaries. High degree of emotional intelligence. </li><li>High client service ethic and a proven record in delivering exemplary client satisfaction to external and internal client constituencies. </li><li>Ability to interpret strategic objectives and deploy them within day-to-day operations. </li><li>Ability to communicate effectively, both orally and in writing. </li><li>Excellent organization, time management and planning skills. </li><li>Ability to manage multiple requests, assess priorities, and achieve solutions under deadlines. </li><li>Proven ability to work well with all levels of management, staff and attorneys. </li><li>Strong technology skills, including proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
