<p>We are seeking Sr. Project Support Specialist to provide Full-Time on-site support to a NASA contract at NASA, Headquarters in Washington, DC.</p> <p>Responsibilities:</p> <ul> <li>Provide high quality customer service to high level executives at NASA Headquarters (Office of Legislative and Intergovernmental Affairs (OLIA)). </li><li>Provide writing support as needed on a variety of documents. </li><li>Coordinate meetings/appointments/conferences and arrange for appropriate equipment. </li><li>Prepare agendas, attend meetings as requested, and report back status. </li><li>Manage shared calendars for one or more Executives as needed. </li><li>Help coordinate, plan, and execute office moves to include phone moves, IT coordination, list updates, key requests, door sign requests, and excess requests. </li><li>Maintain office supply inventories and the Office Contact List. </li><li>Coordinate logistics for travel using the NASA travel system to include protocol and multiple legs of trips. </li><li>Manage the schedules for the conference room and travel to and from Capitol Hill in coordination with the local transportation services team. </li><li>Serve as the point of contact for Legislative Reference Memorandums and Inspector General/Governmental Accountability Office inquiries. </li><li>Oversee the OLIA Headquarters Action Tracking System for all correspondence, including entering and updating data, extracting data in response to requests (from management or in response to FOIA requests), and generating reports. </li><li>Prepare standard presentation packages for NASA Executives as well as specialty presentations to include gathering input and formatting for consistency. </li><li>Develop and document internal workflows for efficiency. </li><li>Prepare and route official NASA correspondence documents as per NASA HQ standards and directives. </li><li>Maintain and update electronic files, records, and data. </li><li>Individual will proactively interface with all levels of management and other program team members to ensure the office has all levels of administrative support covered. </li><li>Responsible for communicating project status and issues to customers and leadership as they arise. </li><li>May be responsible for taking direction from leadership and distributing information to team members, stakeholders, and leadership quickly and efficiently. </li><li>May lead others in complex assignments. </li><li>Additional duties as requested. </li></ul> <p>Requirements</p> <ul> <li>Full-Time on-site support during normal business hours. </li><li>Ability to take direction from leadership, distribute functions across a team, and keep track of structuring various tasks, employees, and policies. </li><li>Outstanding, proactive, customer service skills with the ability to anticipate needs and create efficient process flows. </li><li>Must have excellent oral, written, and interpersonal communication skills. Able to work with executive-level customers and leadership. </li><li>Strong working knowledge of Microsoft Word, Excel PowerPoint, and Outlook. </li><li>Must have the ability to balance multiple priorities and produce quality work efficiently. </li><li>Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA HQ Extensive background investigation will be performed as a requirement of the job. Some travel may be required. </li><li>NASA Project Support experience highly desirable. </li></ul> <p>Education and Experience:</p> <p>Bachelor's degree and 4 years of professional experience or 8 years of experience in lieu of degree</p>
