<p>We are looking for a detail-oriented and proactive HR Administrative Assistant to join our team. This hybrid role requires the individual to report to the office twice a week. The HR Admin will play a crucial role in supporting the HR Operations Team by managing employee files, assisting with the onboarding process, verifying I-9 documentation, sending emails, preparing and facilitating team meetings, checking employee data, monitoring and submitting unemployment claims, creating and sending surveys, supporting offboarding and terminations, handling special projects, performing HRIS data entry and data review checks, and managing physical mail and document scanning.</p> <p>Key Responsibilities:</p> <ul> <li>Maintain and update employee files, ensuring all records are accurate and up-to-date. </li><li>Assist with the onboarding process for new hires, including coordinating orientation session invites and preparing necessary documentation. </li><li>Administer I-9 processes across locations, verify I-9 documentation, and ensure compliance with federal regulations. </li><li>Send emails and communications to employees as needed. </li><li>Prepare and facilitate team meetings, including scheduling, creating agendas, and taking minutes. </li><li>Check and update employee data in HR systems. </li><li>Monitor and submit unemployment claims for the employer. </li><li>Create and distribute surveys to gather employee feedback and insights. </li><li>Support the offboarding process, including creating separation documents, monitoring HRIS for termination submissions, and managing termination paperwork. </li><li>Handle special projects as needed. </li><li>Perform HRIS data entry and data review checks. </li><li>Check and action physical mail, and scan and file documents. </li></ul> <p>Qualifications:</p> <ul> <li>Proven experience in an HR administrative role or similar position. </li><li>Strong organizational skills and attention to detail. </li><li>Excellent communication and interpersonal skills. </li><li>Proficiency in HR software and Microsoft Office Suite. </li><li>Ability to handle highly sensitive and confidential information with complete discretion. </li><li>Knowledge of employment laws and regulations is a plus. </li></ul>
