The primary statutory function of the agency is the development and implementation of the Kansas Water Plan. State law requires the Kansas Water Office to "Formulate on a continuing basis a comprehensive State Water Plan for the management, conservation and development of the water resources of the state". This position serves as a key point of contact for staff, partner agencies, and the public by managing communications, scheduling meetings and events, coordinating travel arrangements, and supporting agency leadership.</p> <p>Job Responsibilities may include but are not limited to the following:</p> <p>Agency Communication and Scheduling</p> <ul> <li>Screens and refers callers; provides detailed responses to information requests and questions about programs and activities. Relays important instructions and messages. </li><li>Maintains KWO email and make sure all requests are handled in a timely manner. </li><li>Maintains office calendars, helps schedule and plan events and meetings, and checks out all office equipment for meetings. </li><li>Helps in printing and emailing KWO documents and publications. </li><li>Prepares agendas and materials in accordance with established practices; takes minutes at meetings. </li><li>Assist with meeting preparations and also attends Kansas Water Authority meetings to assist in meeting facilitation, ensuring that meeting notes are correct and timely and the needs of the Kansas Water Authority members are met. </li></ul> <p>Travel Coordination</p> <ul> <li>Provides assistance to agency staff on state travel policy and procedures. </li><li>Assist in processing and reconciling travel-related expenses. </li><li>Arrange travel for staff, including flights, accommodations, ground transportation, and other logistical details. </li><li>Ensure travel plans follow the state's policy and guidelines. </li><li>Provide detailed itineraries and travel documentation to staff. </li><li>Communicate travel arrangements and updates to staff in a timely manner. </li></ul> <p>Accounts Payable & Accounts Receivable</p> <ul> <li>Utilizes accounting system (SMART) daily in the preparation of vouchers, travel reimbursements, purchase requisitions, and deposits. </li><li>Reconciles procurement cards in the accounting system. </li><li>Consults daily with agency administrators, staff members and general public to address a variety of issues and responds to inquiries in a timely manner. </li><li>Purchases goods and services as needed. Contacts suppliers for price quotes; prepares requisitions and checks accuracy of funding information and purchases with the CFO. </li></ul> <p>Other Duties as Assigned</p> <p>Qualifications</p> <ul> <li>Education: High school diploma or GED - Additional coursework, training, or experience in business, accounting, finance, office administration, or a related field. </li></ul> <p>Special knowledge, skills and abilities:</p> <p>Effective written, oral and graphic display communication skills; ability to identify, define and develop solutions to effectively achieve solutions to effectively achieve consensus on the solution to complex problems. Employee must be trustworthy, possess a high degree of optimism for success, be flexible and have tact to work effectively where strong differences of opinion are present. Must be able to constructively offer or propose alternatives and opinions to achieve the organization's objectives. Must be able to recognize areas in need of improvement and be willing to initiate positive action.
