Schedule work, prepare materials lists, enter work orders, and manage accurate billing and records. Act as the key point of contact for customers, inspectors, and internal teams, resolving issues and ensuring a smooth workflow from start to finish.</p> <ul> <li>Process permits for HVAC installations and contact customers and jurisdictions for inspections. </li><li>Prepare permit paperwork in accordance with jurisdictional requirements. </li><li>Submit permit requests via online systems and/or in person. </li><li>Create and maintain Microsoft Excel files to track permit status. </li><li>Communicate directly with city officials to coordinate and schedule all necessary inspections. </li><li>Coordinate with the permit runner or have the ability to run permits to job sites and localities on your own. </li><li>Close Permits at job completion. </li><li>Assures that all external and internal calls are handled quickly and effectively, taking messages and transferring, paging or otherwise assisting callers. May communicate using telephone lines, radio and/or cell phones. </li><li>Represents the company by greeting visitors, vendors and clients and contacting appropriate staff members. Directs visitors to proper destination. </li><li>Prepares outgoing mail and sorts/distributes incoming mail and faxes. </li><li>Issues employee applications, assists applicants and maintains applications on file. </li><li>Performs general clerical duties as assigned to include filing, photocopying, typing proposals and reports, logging information, faxing and entering data into computer systems. </li><li>Orders and maintains office supplies, as needed. Ensures that office equipment is operational with appropriate paper, toner, etc. </li><li>May coordinate cleaning and maintenance of office equipment. </li><li>May be responsible for making travel arrangements. </li><li>May be responsible for preparing and coordinating bank deposits. </li><li>Coordinates delivery of express shipping supplies and pickup of outgoing shipments. </li><li>Forwards calls, as appropriate, to other members of the staff in other departments. </li><li>Permitting experience is REQUIRED </li><li>Previous administrative assistant or administrative experience required. </li><li>Related experience and/or advanced training or any equivalent combination of education and experience may be substituted. </li><li>Must be computer literate with knowledge of Microsoft Office </li><li></li></ul> <p>Qualifications</p> <p>What You Need:</p> <ul> <li> <p>Related experience or equivalent combination of education/training</p> </li><li> <p>Customer service or dispatching background preferred</p> </li><li> <p>Basic computer proficiency</p> </li><li> <p>Strong communication and interpersonal skills</p> </li><li> <p>Familiarity with HVAC, plumbing, or home services a plus</p> </li></ul> <p>Note: This posting outlines potential pay ranges and opportunities, which are not guaranteed and do not represent a formal offer.
