<p>Position Summary:</p> <p>Responsible for extracting protocol specific data from research source documents for clinical trial Case Report forms. Responsible for entering data into clinical trial sponsors' multiple electronic data capture systems. Resolves queries from sponsors regarding data entered in their eCRF systems. Retrieves, logs and ships biological specimens according to protocol requirements. Maintains accuracy, quality and timeliness of data generated by clinical research records. Performs long-term follow-up contacts with patients and obtains documentation Assists in developing and preparing documents related to research projects.</p> <p>Service</p> <p>Responds to inquires or contacts in a variety of circumstance representing UTMC and the Office of Clinical Trials to internal and external customers.</p> <p>a. Acts as patient/customer liaison: Patient confidentiality is maintained.</p> <p>b. Phone calls and written requests are responded to in a courteous, timely manner.</p> <p>c. Assists within reason to resolve complaints, requests, or customer concerns.</p> <p>d. Manages the scheduling of meetings for the OCT management team, principal investigators, and external customers.</p> <p>e. Represents office in an effective and confidential manner.</p> <p>f. Maintains composure under stressful conditions.</p> <p>g. Handles confidential and sensitive issues with maturity and professionalism.</p> <p>h. Handles conflict with diplomacy and presents a professional attitude and appearance.</p> <p>Assists with departmental purchases.</p> <p>a. Negotiates for best pricing by comparing vendors, inquiring about contracts and discounts, analyzing effectiveness of volume purchases to maximize savings.</p> <p>b. Communicates with staff, other departments, and outside vendors to keep projects on track and to provide employee satisfaction.</p> <p>c. Is able to work independently with little supervision and minimal errors.</p> <p>Support business activities of the Director of Clinical Trials.</p> <p>a. Assignments are completed in a timely manner with minimal supervision.</p> <p>b. Follow up is provided as needed.</p> <p>Efficiency and Effectiveness</p> <p>Greets everyone entering the Office of Clinical Trials.</p> <p>a. Maintains communication and relationships with senior management, physicians, UHS staff, customers/patients/families.</p> <p>b. Communicates effectively with a variety of individuals at multi levels providing accurate information within expected time frame.</p> <p>c. Ability to appropriately triage communications or requests to appropriate persons or department/office.</p> <p>Coordinates, organizes, and prepares for meetings, presentations, luncheons, travel as required by Director.</p> <p>a. Assists in preparation, and distribution of presentation materials. Ensures appropriate equipment is available.</p> <p>b. Communicates arrangements to participants or catering without error.</p> <p>c. Responds to other needs within established timeframes.</p> <p>d. Makes travel arrangements and prepares required forms for reimbursement.</p> <p>e. All arrangements meet needs of facilitator(s) and group participating in meetings.</p> <p>Resolves problems or issues.</p> <p>a. Uses initiative in facilitating resolution in a timely and effective manner.</p> <p>b. Assists with day-to-day facility issues, including A/V issues.</p> <p>c. Keeps OCT Leadership apprised of all significant issues.</p> <p>Performs clerical/administrative support for the Cancer Institute.</p> <p>a. Maintains calendars, schedule meetings, handle meeting arrangements, conference calls, and equipment.</p> <p>b. Maintains equipment and supplies.</p> <p>c. Assists with arrangements for team member recruitment as requested.</p> <p>d. Assures daily office functions run smoothly and work is completed in a timely manner.</p> <p>e. Obtains data and updates for OCT meetings.</p> <p>g. Retrieves mail and distributes.</p> <p>Provides OCT clinical trial/patient information to the Financial Analyst for monthly OCT Metrics Reports for COEs served by the OCT as needed.</p> <p>a. Gather data for preparing monthly metrics reports.</p> <p>b. Maintain Active Patient Log.</p> <p>Perform department activities as assigned and directed.</p> <p>a. Code department invoices and submit to for review/approval as appropriate.</p> <p>b. Maintain A/P invoice files. Invoices marked and filed within two business days.</p> <p>c. Prepare various department reports and analyses as needed. Within agreed time frames.</p> <p>Manage Data in Clinical Conductor.</p> <p>a. QC and manage patient data entered in CTMS by performing weekly review.</p> <p>b. Audits Clinical Trials calendar patient visit information weekly/monthly and compares to Clinical Conductor information for accuracy. Identifies and resolves differences.</p> <p>Quality and Safety</p> <p>Logs and tracks various expenses for the department.</p> <p>a. Validates expenditures for accuracy against purchase order.</p> <p>b. Enters data to track travel expenditures by employee and by travel purpose.</p> <p>Prepares purchase orders, travel, and petty cash reimbursements.</p> <p>a. Information is accurate and forms are prepared in a timely manner.</p> <p>b. Follows up with staff to ensure reimbursement received.</p> <p>c. Prepares purchase orders for capital items and departmental service renewals.</p> <p>Process Accounts Payable invoices as needed.</p> <p>a. Matches invoices with packing slips on direct purchases and follows up on discrepancies.</p> <p>b. Accurately codes invoices and submit in timely manner.</p> <p>c. Keeps documentation on file and follow up on missing information.</p> <p>Performs duties in a timely manner and the produces quality services/output.</p> <p>a. Ability to prioritize work.</p> <p>b. Projects/task completed to meet deadlines established.</p> <p>c. Efforts produce quality outputs that meet standards of the Director and UHS.</p> <p>d. Work is performed in a safe manner following UHS guidelines.</p> <p>Protects and retrieves key documents/data.</p> <p>a. No information is compromised and is available upon request.</p> <p>b. Documents/files are maintained in an organized manner.</p> <p>Position Qualification:</p> <p>Experience</p> <p>6 months - 1 yr</p> <p>Six months to one year related experience; or equivalent combination of education and experience.</p> <p>Skills/Abilities</p> <p>Proficient in Microsoft Word, Excel e-mail and other common used computer software</p> <p>Familiarity with Medical Terminology, Research Protocols, and Data Capture Systems preferred</p>
