<p>Utah Valley University is seeking an Administrative Assistant to support the dynamic operations of the Nursing Department. Reporting to the Department Chair, this role manages daily administrative functions and ensures the smooth operation of the department's front office. Key responsibilities include budget monitoring, coordinating facility needs, managing academic scheduling, maintaining records and databases, overseeing inventory, and supporting specialized accreditation activities. The position also involves coordinating meetings, program functions, and special events. This is an excellent opportunity for a detail-oriented professional with strong organizational skills to contribute to the success of UVU's Nursing program and support faculty, staff, and students in a collaborative academic environment.</p> <ul> <li>Performs advanced and confidential administrative support duties including composing routine correspondence and meeting minutes; coordination with academic scheduling; and reconciling financial/budget reports. Complies with university and departmental policies and procedures as well as accreditation standards. </li><li>Coordinates program financial activities, including timecards, ePAFs, eSAFs, requisitions, purchase orders, travel, index tracking and reconciliation, and maintenance of records. </li><li>Informs students, faculty, staff, and the public of program and university services available. Responds to incoming calls and walk-in traffic. </li><li>Performs other job-related duties as assigned. </li></ul> <p>Graduation from an accredited institution with a bachelor's degree related to the Summary of Duties, or any combination of education and/or experience totaling four years. </p> <p>Preferred Qualifications</p> <p>Administrative experience in an academic setting.</p> <p>Knowledge</p> <ul> <li>Knowledge of computer software applications, including Microsoft Office Suite, databases (such as Banner), and social media. </li><li>Knowledge of best practices in events, correspondence, and meetings with appropriate matters of etiquette in business settings. </li><li>Knowledge of university policy and procedures. </li><li>Knowledge of finance, budget tracking, spending, and reconciling. </li></ul> <p>Skills</p> <ul> <li>Effective interpersonal, problem-solving, decision-making, and public relations skills. </li><li>Skill in communication (verbally and in writing). </li><li>Skill with office methods, techniques, practices, and procedures. </li><li>Skills in the preparation and interpretation of reports. </li><li>Exceptional customer service skills. Skills in maintaining confidentiality. </li></ul> <p>Abilities</p> <ul> <li>Ability to perform a variety of administrative duties independently. </li><li>Ability to work with diverse personalities in a dynamic environment. </li><li>Ability to plan and anticipate potential changes and act accordingly. </li><li>Ability to manage time efficiently. </li><li>Ability to communicate effectively with program stakeholders, including faculty, staff, students, clinical partners, donors, advisory board members, and community leaders. </li></ul>
