The organization distributes nutritious groceries through a network of nearly 400 partners at drive-thru and walk-up sites across Santa Clara and San Mateo counties. Due to the prohibitively expensive cost of living in Silicon Valley, the economic downturn caused by the COVID-19 pandemic, and the rise in inflation, Second Harvest is now serving an average of about 500,000 people every month. Second Harvest also connects people to federal nutrition programs and other food resources, and advocates for anti-hunger policies on the local, state, and national levels. To learn more about how Second Harvest is responding to the incredible amount of need in Silicon Valley, visit shfb.org.</p> <p>About the Position</p> <p>The Client Registration Coordinator will use Salesforce and other tools to maintain accurate client contact and distribution of attendance records across all Free Grocery sites managed by Second Harvest. The Client Registration Coordinator is also responsible for sending and receiving supplies and materials to and from Free Grocery distributions, in partnership with Operations, and supports fellow Programs staff with onsite client registration and check-in training as well as in-office administrative duties. The individual in this position recruits, schedules, trains, and assigns administrative tasks to volunteers from the community. This role enables Second Harvest to provide accessible food and excellent service to clients in need but also collaborates across the organization and directly with distribution partners and volunteers. The coordinator will spend part of their time in the field, conducting up to three site visits per quarter, engaging with partners and volunteers to ensure smooth client registration operations. The remaining time will be dedicated to administrative duties and providing support to internal teams for seamless program execution.</p> <p>The coordinator may assist with:</p> <ul> <li> <p>Recruit, place, and train administrative volunteers to help with client roster creation, pack mail bags with site materials, receive mail bags, prepare monitor packets, and enter client data</p> </li><li> <p>Work with Program Managers and Regional Program Coordinators to:</p> </li><li> <p>understand where registration support is needed</p> </li><li> <p>develop a plan for providing support</p> </li><li> <p>implement on-site support</p> </li><li> <p>Support Manager in the implementation and on-going use of tablets at sites, including:</p> </li><li> <p>Training in the use of tablets</p> </li><li> <p>Keeping track of tablet assignments</p> </li><li> <p>Ensuring site leads and/or registration volunteers have access codes</p> </li><li> <p>Creating new access codes when site leads change</p> </li><li> <p>Working with IT to resolve issues with the tablets as they arise</p> </li><li> <p>Perform technical assistance for registration at sites to ensure:</p> </li><li> <p>Site volunteer leaders are fully trained and clear on registration processes</p> </li><li> <p>Best practices are followed, including the use of tablets, rosters, registration forms, and Client ID cards</p> </li><li> <p>Any changes to the registration process are implemented properly</p> </li><li> <p>Create and manage tools, materials, systems, and processes that uphold data hygiene best practices (i.e., deduplication) and enable client and volunteer communications and support (i.e., calendars)</p> </li><li> <p>Collaborate with Client Registration Manager to track supply inventory and request replenishments as needed</p> </li><li> <p>Support the Programs Team and ensure excellent customer service is provided for Free Grocery partners, volunteers, and clients</p> </li><li> <p>Participate in meetings and projects related to client data and Free Grocery registration, as assigned by the supervisor</p> </li><li> <p>With the support of the manager, create and execute training to support site leaders and other programs staff</p> </li><li> <p>Support manager in collaboration with Client Marketing team and Analytics Team to identify gaps in tablet use and low attendance numbers at sites</p> </li><li> <p>Other tasks as required and as assigned to meet Second Harvest goals and objectives</p> </li></ul> <p>The ideal candidate will possess the following professional qualifications:</p> <ul> <li>Excellent volunteer management and customer service skills. Must be able to establish and maintain good relationships with people of various ages, educational, ethnic, and socioeconomic backgrounds; to patiently repeat instructions to challenging people; to positively enforce rules and procedures; to motivate customers and coworkers; and to change routine due to customer or situational demands without losing composure </li><li>Experience working with volunteers and/or low-income families and individuals </li><li>Demonstrated ability to communicate clearly orally and in writing, follow established procedures and organize, plan, and carry out activities to meet specific timelines </li><li>Proven record of accuracy in completing and reviewing data </li><li>Demonstrated ability to exercise discretion and independent judgment </li><li>Proven ability to work as a team player while also being able to perform multiple duties independently with minimum supervision </li><li>Demonstrated ability to be flexible and adapt to change </li><li>Excellent computer skills, particularly word processing and database management-- experience using computerized CRM system highly desired </li><li>Bi or multilingual fluency is a plus </li><li>Non-profit experience is a plus </li></ul> <p>Reports To</p> <p>Client Registration Manager</p> <p>Location</p> <p>Second Harvest of Silicon Valley, San Jose & San Mateo Counties.</p> <p>This is a hybrid position. Specifics of work location will depend on department need.</p> <p>An employee's regular remote work site should be within driving distance of one of Second Harvest's locations and must be within the state of California.</p> <p>Hours</p> <p>Full-Time. Exempt. 40 hours/week, with some evening and weekend work as necessary.</p> <p>Compensation</p> <p>$70,075 to $74,262 is the wage range for this position. The salary wage offer will be commensurate with skills and experience.
