<p>Job Description:</p> <p>Academic Administrative Assistant</p> <p>Grove School - Madison, Connecticut</p> <p>Full-Time | 12-month Position</p> <p>www.groveschool.org</p> <p>Position Summary</p> <p>Grove School, a therapeutic day and residential special education program, seeks a highly organized and detail-oriented Academic Administrative Assistant to support the Academic Department and school leadership. This role serves as a central hub for academic operations, data management, scheduling, communication, and compliance documentation. The ideal candidate is proactive, technology-savvy, and skilled at managing multiple priorities in a fast-paced educational environment.</p> <p>Key Responsibilities</p> <p>Academic Operations & Data Management</p> <ul> <li>Maintain accurate academic records in PowerSchool and internal databases </li><li>Support course scheduling, section creation, and roster management </li><li>Prepare reports, spreadsheets, and documentation for internal and external use </li><li>Assist with transcript requests, grade reporting, and student records management </li></ul> <p>Administrative & Clerical Support</p> <ul> <li>Provide day-to-day administrative support to the Principal, Assistant Principal, and Academic Team </li><li>Manage calendars, meeting schedules, and logistics for academic meetings and committees </li><li>Draft, format, and distribute correspondence, agendas, and meeting minutes </li><li>Maintain organized digital and physical filing systems </li></ul> <p>Compliance & Documentation</p> <ul> <li>Assist with preparation and organization of materials related to CT SDE, CT DCF, and accreditation requirements </li><li>Track required documentation, signatures, and deadlines </li><li>Support audits, reviews, and data requests </li></ul> <p>Communication & Collaboration</p> <ul> <li>Serve as a point of contact for faculty, staff, families, and outside agencies regarding academic matters </li><li>Coordinate information flow between departments </li><li>Maintain professionalism and confidentiality at all times </li></ul> <p>Technology & Systems Support</p> <ul> <li>Utilize Microsoft Office (Excel, Word, Outlook), Microsoft Teams, and SharePoint effectively </li><li>Support data imports/exports, templates, and workflow tools as needed </li></ul> <p>Qualifications</p> <p>Required</p> <ul> <li>High school diploma or equivalent (Associate's or Bachelor's degree preferred) </li><li>Strong organizational, time-management, and multitasking skills </li><li>High level of proficiency with Microsoft Office programs </li><li>Excellent written and verbal communication skills </li><li>Ability to handle confidential information with discretion </li></ul> <p>Preferred</p> <ul> <li>Experience in a school or special education setting </li><li>Familiarity with PowerSchool or other student information systems </li><li>Experience working in a therapeutic, residential, or alternative education environment </li></ul> <p>Personal Attributes</p> <ul> <li>Detail-oriented and highly reliable </li><li>Flexible and adaptable to changing priorities </li><li>Collaborative, positive, and service-oriented </li><li>Comfortable working independently and as part of a team </li></ul> <p>Compensation & Benefits</p> <ul> <li>Competitive salary based on experience </li><li>Health, dental, and vision insurance </li><li>Retirement plan </li><li>Paid time off and school vacation schedule </li><li>Professional development opportunities </li></ul> <p>Application Process</p> <p>Interested candidates should submit a resume to:</p> <p>Sean Kursawe, Principal</p> <p>sean@groveschool.org</p> <p>Grove School is an equal opportunity employer and is committed to building a diverse and inclusive community.</p>
