<p>Position Information</p> <p>Position Number S01158 Position Title Student Information Systems Coordinator Division/Portfolio Office of the Registrar Department/Program Registrar's Office Location Kelowna Other Flexible Work Options Your Opportunity</p> <p>Under the direction of the Associate Registrar, Systems and as part of the Office of the Registrar management team, the Student Information Systems Coordinator will lead, manage and implement projects related to the student information system (SIS). As the SIS subject matter expert, the Coordinator will play a lead role in the implementation of SIS related continuous improvement projects. The Coordinator also works closely with all Office of the Registrar and other SIS administrative staff throughout the organization to ensure business practices affecting data quality and integrity are understood and complied with.</p> <p>Functions and Duties</p> <ol> <li> <p>Works with departmental managers on SIS administrative change initiatives and ensures adherence to established SIS administrative practices.</p> </li><li> <p>Manages communication and information sharing with all departments throughout the College that provide administrative SIS services on functional SIS integration topics.</p> </li><li> <p>Works with departmental staff to ensure correct implementation and adherence of procedures.</p> </li><li> <p>Researches developments and changes to the SIS and integrated systems.</p> </li><li> <p>Leads, manages and implements internal SIS projects.</p> </li><li> <p>Investigates and recommends new SIS functionality to the Office of the Registrar management team.</p> </li><li> <p>Contributes to cross functional/departmental teams on process improvement related to the SIS.</p> </li><li> <p>Manages SIS upgrades in collaboration with IT Services and informs Office of the Registrar management team on impacts related to existing business practices.</p> </li><li> <p>Participates in Office of the Registrar business practice improvement initiatives to ensure they can be operationalized within the SIS and that they will not cause issues with internal and/or external reporting of SIS data.</p> </li><li> <p>Develops project plans from problem definition through design, implementation and post-implementation review utilizing best practices with respect to project management standards including status reporting.</p> </li><li> <p>Ensures the provision of training including maintaining any necessary operating procedures.</p> </li><li> <p>Conducts feasibility studies and identifies opportunities for improvement to service.</p> </li><li> <p>Provides interpretation and clarification of policies of the Office of the Registrar.</p> </li><li> <p>Liaises with IT Services on troubleshooting functional issues within the SIS.</p> </li><li> <p>Liaises with Institutional Research on data quality and integrity issues.</p> </li><li> <p>Liaises with Financial Services on student account related issues.</p> </li><li> <p>Participates in Ministry of Advanced Education initiated projects that integrate with the SIS.</p> </li><li> <p>Responsible for SIS maintenance.</p> </li><li> <p>Monitors the timely receipt of final grades and ensures accurate entry into the student's permanent record.</p> </li><li> <p>Changes records to reflect successful grade appeals.</p> </li><li> <p>Responsible for the timely generation from computerized data and the distribution of student transcripts, probation reports, and routine statistical reports.</p> </li><li> <p>Supports and assists professors and instructors in generating class lists and final grade sheets through self-service SIS applications.</p> </li><li> <p>Monitors academic probation's to ensure that the appropriate letters are forwarded to students and that the correct entries are posted on the student's permanent record.</p> </li><li> <p>Responsible for archiving inactive student files.</p> </li><li> <p>Schedules registration appointments in order to minimize student congestion.</p> </li><li> <p>Performs other duties as assigned.</p> </li></ol> <p>Education and Experience</p> <p>Graduation from a four-year degree program in Business Administration, Technology Management or related field or equivalent education/experience is required. A minimum of 4 years' experience working with an SIS within a higher education environment is required.</p> <p>Skills and Abilities</p> <ul> <li>Strong functional and analytical skills </li><li>Able to apply principles of logical thinking to define problems </li><li>Able to document and analyze SIS practices and data </li><li>Able to train others through complex business practices </li><li>Proven project management skills with the ability to plan and think strategically </li><li>Excellent organizational, administrative and problem-solving skills with superior attention to detail and accuracy </li><li>Excellent computer skills with proficiency using Microsoft Office and complex databases, as well as the ability to generate and analyze reports </li></ul> <p>Preferred Qualifications Desired Start Date 08/11/2025 Position End Date (if temporary) Schedule Annual Salary/Hourly Rate $63,827 - $72,927 Appointment Type Support - Regular Full-time Special Instructions to Applicants</p> <p>Shortlisted internal candidates must notify the current Support Staff Bargaining Chairperson and People Services if they want a Union Observer during interviews and final selection of candidates.</p> <p>Employee Group Support</p>
