<p>Deans Office PSP (Professional Support Personnel) JobID: 1507</p> <p>Position Type:</p> <p>Secretarial/Clerical/Secretary</p> <p>Date Posted:</p> <p>4/23/2025</p> <p>Location:</p> <p>Antioch Community High School</p> <p>Closing Date:</p> <p>05/10/2025</p> <p>  Additional Information: Show/Hide</p> <p>POSITION SUMMARY:</p> <p>The job of the Dean's PSP is to plan, initiate, and carry to completion, clerical, secretarial and administrative activities related to the operation of the deans program, providing student information to authorized parties in compliance with established policies; and providing general clerical support, information, and/or direction as may be assigned.</p> <p>QUALIFICATION - EXPERIENCE - KNOWLEDGE:</p> <ul> <li> <p>High School diploma is required and an Associate's Degree is preferred</p> </li><li> <p>Excellent computer abilities with Google Applications and other business related software products</p> </li><li> <p>Experience with Excel and working in student databases (e.g. Infinite Campus, SIS, etc.) is preferred</p> </li></ul> <p>ESSENTIAL FUNCTIONS:</p> <ul> <li> <p>Maintains a high level of ethical behavior and confidentiality when dealing with student and staff information for the purpose of ensuring compliance with district, state, and federal regulations</p> </li><li> <p>Communicates with students, teachers, parents, district employees, etc. (e.g. courtesy calls to parents, discipline history, parent letters, passes to students, etc.) for the purpose of resolving problems and coordinating activities and processes</p> </li><li> <p>Supports all department staff members for the purpose of providing assistance with their functions and responsibilities</p> </li><li> <p>Plan, organize, coordinate and oversee high school attendance pass runners, if utilized in the building, for the purpose of providing students with necessary passes for early releases and to attend meetings with other school personnel</p> </li><li> <p>Responds to questions from a variety of internal and external sources (e.g. staff, other educational institutions, the public, parents, and/or students, etc.) for the purpose of providing information and/or directions</p> </li><li> <p>Responsible for maintaining confidential student discipline files (e.g. inputting records, referral notices, suspensions, etc.) within the master database. Notify necessary administration as well as parent/guardians regarding administrative action of the referral (e.g. suspension letters, detention notification, etc.)</p> </li><li> <p>Assist Dean of Students with correspondence (e.g. Tech Campus, ROE, Special Education, disciplinary actions, bussing etc.)</p> </li><li> <p>Provide supervision of students as needed (e.g. waiting to see a Dean, detentions (office, after school, before school, etc.)</p> </li><li> <p>Coordinates, processes, and updates documents and materials (e.g. passes, Emergency and Crisis Response Plan, Student Handbook, Dance Guest application, etc.) for the purpose of disseminating information to appropriate parties</p> </li><li> <p>Assist with maintaining emergency procedures and systems (e.g. NAVIGATE, etc.)</p> </li><li> <p>Manages all aspects of student/staff parking</p> </li><li> <p>Responsible for assisting in ensuring accurate and timely completion of regulatory requirements (e.g., ROE reports etc.) as needed</p> </li></ul> <p>OTHER FUNCTIONS:</p> <ul> <li> <p>Assists other personnel (e.g. summer school grades, mailings, testing, graduation ceremonies, return mail, etc.) for the purpose of supporting them in the completion of their work activities</p> </li><li> <p>Compiles a variety of ad hoc reports and data collection (e.g. year-end reports, progress reports, etc.) for the purpose of providing accurate information</p> </li><li> <p>Attends department, in-service meetings, workshops and/or seminars as assigned for the purpose of conveying and/or gathering information required to perform job functions</p> </li><li> <p>Participates in training for the purpose of providing or receiving information and updating skills as changes occur in district software</p> </li><li> <p>Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the school district</p> </li><li> <p>Supports and serves as backup to other support personnel to provide assistance and coverage with their functions and responsibilities as needed</p> </li></ul> <p>SKILLS REQUIRED:</p> <ul> <li> <p>Ability to demonstrate regular attendance and punctuality</p> </li><li> <p>Ability to perform several tasks concurrently under varying deadlines and adapt to changing work priorities</p> </li><li> <p>Ability to maintain a professional demeanor in all situations and must be able to withhold confidential information</p> </li><li> <p>Ability to exercise tact, good judgment, and initiative in dealing with students, faculty, and parents/guardians</p> </li><li> <p>Ability to communicate with diverse groups</p> </li><li> <p>Ability to operate standard office equipment including using pertinent job related software applications and preparing and maintaining accurate records</p> </li><li> <p>Ability to work well with all levels of internal management, staff, and students as well as parents/guardians</p> </li><li> <p>Ability to communicate clearly and concisely, both orally and in writing including clear, polite telephone communication skills and the use of proper grammar and punctuation to write routine reports and correspondence</p> </li><li> <p>Ability to work effectively as part of a team and with frequent interruptions</p> </li><li> <p>Ability to set work priorities, and work efficiently under minimum supervision</p> </li></ul> <p>PHYSICAL REQUIREMENTS:</p> <p>Employees in this position must have the ability to sit for extended periods of time; enter data into a computer terminal/typewriter; operate standard office equipment; use a telephone; see and read a computer screen and printed matter with or without vision aids, hear and understand speech at normal levels and on the telephone; speak so that others may understand at normal levels and on the telephone.</p> <p>WORK ENVIRONMENT:</p> <p>The usual and customary methods of performing the job's functions require the following physical demands; some lifting, carrying, pushing and/or pulling and significant finger dexterity.
