<p>The Operations Specialist is a full-time professional staff member who reports to the Director of Apartments and Off Campus Living. The Operations Specialist will oversee desk operations for 15 residence hall desks, maintain the department's website and SharePoint site and work collaboratively with the Student Living leadership and campus partners to manage break occurrences during the academic year. The Operations Specialist supervises up to 12 non-exempt Residence Hall Operations Coordinators. Additionally, this individual serves on departmental, divisional and university wide committees as needed.</p> <p>Education and Experience</p> <ul> <li>Bachelor's degree required. </li><li>Two (2) plus years of experience supervising and managing fulltime professional staff. </li><li>Evidence of work in residence life and housing or a related field. </li></ul> <p>Skills and Knowledge</p> <ul> <li>Previous residence hall administration experience and student development experience are preferred. </li><li>Demonstrated experience planning, organizing and implementing training programs. </li><li>Demonstrated ability to manage multiple priorities in a fast-paced environment. </li><li>Ability to meet established deadlines, set priorities and organize and plan effectively. </li><li>Demonstrated ability to communicate with internal and external stakeholders while exercising appropriate judgment, discretion, initiative, tact, and diplomacy. </li><li>Demonstrated ability to engage interpersonally and collaboratively with individuals and groups at all levels within a large, diverse student-facing department. </li><li>Demonstrated proficiency in Outlook, and Microsoft Office, including Word, Excel, PowerPoint, and Teams. </li></ul> <p>Responsibilities</p> <ul> <li>Coordinate and administer operations for 15 residence hall desks. </li><li>Ensure that operations, procedures and protocols are reflective of industry standards and align with the university's processes and procedures. </li><li>Assess, update and improve operations as needed and/or directed by departmental leadership. </li><li>Directly supervise up to 12 Residence Hall Operations Coordinators (RHOCs). </li><li>Meet with staff to establish professional goals and performance measures. </li><li>Provide support, feedback and training as needed. Address performance management issues that could result in termination of staff. </li><li>Conduct annual performance partnerships with direct reports and recommend merit increases as requested. </li><li>Collaborate with the Director of Residential Learning and Development and RHOCs to hire Main Desk Assistants (MDAs). </li><li>Collaborate with the RHOCs to ensure that all desks are staffed, and that MDAs are trained and evaluated effectively. </li><li>Provide desk operations training for Student Living staff as requested and/or needed. </li><li>Ensure that package storage and software are established and maintained for all desks. </li><li>Collaborate with departmental leadership and campus partners to address any infrastructural challenges impacting package inventorying and distribution. </li><li>Oversee the process for mishandled packages </li><li>Serve as point of contact for Facilities Services. </li><li>Collaborate with Facilities Services to inform and prepare students for any repairs and maintenance impacting the residential facilities. </li><li>Maintain the department's website and SharePoint site. </li><li>Oversee all aspects of health and safety inspections. </li><li>Collaborate with Student Living leadership and team to administer health and safety inspections. </li><li>Collaborate with Facilities to address any maintenance or repairs for staff offices and apartments. </li><li>Conduct walkthroughs of apartments and offices for staff departing their positions. </li><li>Collaborate with Facilities Services to ensure apartments and offices are cleaned and prepared for newly hired staff. </li><li>Coordinate staff moves as needed. Ensure Student Living staff have the supplies and information needed to transition effectively. </li><li>Participate in planning, directing, and coordinating operational or procedural matters to meet department goals and objectives. </li><li>Develop and lead training of professional and student staff on department building operational procedures. </li><li>Oversee all aspects of break occurrences during the academic year (Fall break, Thanksgiving, semester break, January opening and spring break). </li><li>Oversee communication to students and Student Living staff regarding operations, procedures, timelines and deadlines impacting desk operations and student and staff access during these occurrences. </li><li>Assist the Director of Apartments and Off Campus Living with Fall move-in and Spring closing as needed or requested. </li><li>Serve on departmental, divisional and university committees as needed. </li><li>Participate in informal and formal training sessions offered by Syracuse University and professional associations that guide and influence the department's work (i.e., ACUHO-I, NEACUHO, ACPA.
