<p>The Assistant to the Dean, College of Psychology and Counseling serves as the office manager and provides advanced and diversified administrative support for the Office of the Dean and for matters related to the College's programs and interactions with faculty and staff, students, the University community, and the community-at-large.</p> <p>The major responsibilities for this position include: providing assistance to the Dean in supporting the College in the growth and development of its undergraduate and graduate programs and initiatives on the Metropolitan Campus; communicating office policies, procedures and practices of the School, College, and University to students, faculty, university personnel, and the community-at-large; initiating, coordinating and monitoring record keeping procedures and various activities related to programs, faculty and staff, students, and alumni; maintaining and monitoring the College's payroll and budgets; managing confidential personnel matters; researching information and serving as the College's liaison to other colleges, schools, and departments at the University for non-academic matters and for issues and concerns related to the operation of the College; overseeing and coordinating the work of secretarial and student staff; preparing and processing Ph.D. student paperwork associated with teaching; facilitating all Human Resource processes including hiring, background checks, generating personnel action forms, maintaining all personnel records, and coordinating faculty review procedures.</p> <p>Additional responsibilities include: administrative support of the M.S. Clinical Psychopharmacology program; coordination of course scheduling and maintaining faculty and student records for the School's undergraduate curricula on the Metropolitan Campus; processing paperwork for all grants funded in the School of Psychology; monitoring payroll and part-time contracts for adjunct faculty and non-exempt hourly staff; completing purchase requisitions for supplies and resource materials; and data management, analysis and reporting.</p> <p>The incumbent is expected to work independently and collaboratively on day-to-day tasks and special short- and long-term projects, as assigned by the Dean, and to assume a leadership role in carrying out such projects. This position reports to the Dean, College of Psychology and Counseling.</p> <p>Required Qualifications:</p> <ol> <li> <p>Bachelor's Degree required in a related field of study. Equivalent related experience may be considered in lieu of degree.</p> </li><li> <p>A minimum of 2 years administrative work experience, preferably in a multi-faceted, fast-paced, academic work environment including office management responsibilities, staff supervision, working with faculty, students, and staff, and interfacing with multiple organizational units.</p> </li><li> <p>Experience in budget management with the ability to perform analysis of financial and budgetary data.</p> </li><li> <p>Experience and a high level of proficiency related to the following: use of diverse technologies for data processing, data management and analysis, and reporting; applications to tasks using word processing, databases, spreadsheets, graphics, on-line services, etc.; proficiency in current software programs (i.e., Microsoft Office (Word, Excel, PowerPoint), Microsoft Project, Ellucian Colleague, etc.); ability to learn quickly and to train staff in various information processing modalities, as required.</p> </li><li> <p>Excellent interpersonal and oral and written communication skills, problem-solving ability, and organizational skills. Well organized, independent, and collaborative in carrying out responsibilities. Pleasant and competent telephone manner.</p> </li><li> <p>Ability to manage sensitive issues with decorum and confidentiality.</p> </li><li> <p>Employment is contingent upon a satisfactory background check.
