We provide vital support during life's most challenging moments, helping individuals heal, grow, and thrive.</p> <p>We're Hiring!</p> <p>We are seeking an Executive Operations Coordinator to join our team. This full-time position provides high-level administrative support to the President/CEO, Board, and Executive Leadership team. Responsibilities include managing schedules, coordinating meetings and events, handling confidential correspondence, grant administration, and project management.</p> <p>Key Responsibilities</p> <ul> <li>Responsible for the timely and professional handling of incoming telephone calls and emails. </li><li>Provide administrative assistance to the President/CEO and Executive Leadership team for agency communications, including drafting correspondence, memos, and reports. </li><li>Recommend and participate in the development of systems and procedures that enhance operational efficiencies. </li><li>Work independently and within a team on special projects, acting as project manager when requested. </li><li>Develop, prepare, and distribute agendas, attend meetings, transcribe, and disseminate minutes-including Board and Committee meetings. </li><li>Establish, develop, maintain, and update the President/CEO's filing system. Retrieving information from files as needed. </li><li>Prepare insurance applications for agency policies (e.g., general liability, professional liability, umbrella coverage). </li><li>Coordinate and support administrative tasks related to select grants. </li></ul> <p>Qualifications</p> <p>Education:</p> <ul> <li>Required: High school diploma or equivalent </li><li>Preferred: Associate degree or higher in business administration, communication, or a related field </li></ul> <p>Experience:</p> <ul> <li> <p>Required:</p> </li><li> <p>2-3 years of experience in an administrative support role or a similar administrative experience.</p> </li><li> <p>Preferred:</p> </li><li> <p>4+ years of executive-level administrative support, ideally in a nonprofit or human services agency.</p> </li></ul> <p>Skills and Competencies:</p> <ul> <li>Proficiency in Microsoft Office Suite (e.g., Excel, Word, Outlook) software. </li><li>Excellent organizational skills with an ability to prioritize tasks and manage multiple projects. </li><li>Strong administrative coordination skills with experience in office management and clerical tasks. </li><li>Strong interpersonal skills, professional demeanor, and ability to engage effectively with diverse stakeholders. </li><li>Proficiency in managing communications, including telephone, email, and digital platforms. </li><li>Strong written communication skills, including proper grammar, spelling, and business composition. </li><li>Valid Wisconsin Driver's License with reliable personal vehicle.
