<p>Job Description:</p> <p>Bloomfield Public Schools is accepting applications for an Executive Adminstrative Assistant at Central Office - Student Support Services.</p> <p>Location: BOE Central Office - Student Support Services</p> <p>Reports to: Director of Student Support Services</p> <p>Work Year: Twelve-Month position</p> <p>Hourly Wage:</p> <p>Per BFEP Contract - Position will be Grade 8 (Starting Hourly wage: $33.55 - $38.27) until 12/31/25.</p> <p>Effective 01/01/2026, position will be Grade 9 (Starting Hourly wage: $35.12 - $40.08)</p> <p>Position Summary:</p> <p>The Student Support Services Executive Administrative Assistant provides high-level administrative support to the department. This position performs a variety of confidential and complex technical and secretarial duties. The role serves as a key point of contact with other district departments, school staff, external agencies, and the public to support the efficient and effective operation of the Student Support Services Department.</p> <p>Essential Duties and Responsibilities:</p> <p>This section is intended to describe general nature and level of work being performed by incumbent. This is not an exhaustive list of all duties and responsibilities that may be assigned. Bloomfield Public Schools reserves the right to amend and change responsibilities to meet educational and organizational goals.</p> <p>General Responsibilities for all Executive AA Roles:</p> <ul> <li>Serve as a confidential administrative assistant, managing calendars, scheduling meetings, screening calls, and arranging appointments or conferences as needed. </li><li>Assist with budget preparation, including expenditure estimates and organization of supporting documents. </li><li>Monitor department budget accounts and track spending. </li><li>Develop, organize, and maintain physical and electronic departmental files; prepare reports as directed. </li><li>Respond to phone, email, and in-person inquiries; provide courteous and accurate information; resolve issues within scope of authority or refer as appropriate. </li><li>Draft, format, edit, and produce correspondence and written materials requiring thorough knowledge of department policies and district procedures. </li><li>Operate office equipment and technology, including computers, copiers, scanners, and fax machines; input and retrieve data as needed. </li></ul> <p>Specific Responsibilities of the Individual Role:</p> <ul> <li>Complete all assigned state reporting accurately and on time with minimal supervision. </li><li>Arrange out-of-district transportation when needed. </li><li>Assist in updating and reporting SEDAC and SEEC-G data. </li><li>Maintain accurate information in PowerSchool for students identified as special education, Section 504, or homeless, and for students in DCF or out-of-district placements. </li><li>Troubleshoot CT-SEDS issues for staff. </li><li>Maintain and update out-of-district tuition and transportation spreadsheets; create additional spreadsheets as requested. </li><li>Enter requisitions for Student Support Services into the correct Munis accounts. </li><li>Generate requested reports from CT-SEDS, Munis, PowerSchool, and state databases. </li><li>Serve as the confidential secretary to the Director of Student Support Services. </li><li>Work cooperatively with the Business Office. </li><li>Maintain confidentiality in all matters, including student records and internal administrative concerns. </li><li>Respond to information requests from school staff, families, and agencies. </li></ul> <p>Supervisory Responsibilities:</p> <p>None</p> <p>Education and/or Experience:</p> <ul> <li>Associate's Degree or equivalent required </li><li>Minimum of five (5) years of office experience involving varied responsibilities. </li><li>Prior experience in a Student Support Services office preferred. </li></ul> <p>Other Skills and Abilities:</p> <ul> <li>Plan, organize, and prioritize workload; work independently and remain self-motivated. </li><li>Read and interpret documents such as safety rules, operating instructions, and procedure manuals. </li><li>Type accurately at a speed sufficient for successful job performance. </li><li>Write effective reports and correspondence. </li><li>Apply basic math skills as needed. </li><li>Follow written, oral, and diagrammatic instructions. </li><li>Communicate clearly, courteously, and professionally in writing and verbally. </li><li>Work effectively with district procedures and Board of Education policies. </li><li>Demonstrate high proficiency with the Google and Microsoft platforms, state platforms, and related technologies. </li></ul> <p>Effective Date: Immediately</p> <p>Please see District website for complete job description - www.bloomfieldschools.org</p>
