<p>Posting Number: 20254430S Position Title: SUSE & VCRWS Coordinator Position Type: Staff Location: Villanova, PA Recruitment Type: Internal/External Applicants Work Schedule: full-time/12-months Avg Hours Week Department: 207-Sustainable Engineering Program Position Summary:</p> <p>The Coordinator provides high-level administrative and operational support including financial planning and reporting, instructional support such as scheduling and degree completion coordination, and communication projects both within the Sustainable Engineering Program (SUSE) and the Villanova Center for Resilient Water Systems (VCRWS). Reporting to the Director(s) of SUSE and VCRWS within the College of Engineering, the individual supports program and center faculty and provides outstanding service to constituents. This position provides additional support to the Director(s) as requested that requires analytical and critical thinking to determine appropriate action.</p> <p>Villanova is a Catholic university sponsored by the Augustinian Order. The University is an equal opportunity employer and seeks candidates who understand, respect and can contribute to the University's mission and values.</p> <p>Duties and Responsibilities:</p> <p>SUSE: Assist director in monitoring and reporting on operating budgets and maintaining detailed information on academic and laboratory expenditures and other costs from data in University databases. Provide same support for programmatic restricted accounts and verifies income related to indirect costs, gifts, and distance learning flowback funds. Manage internal accounting of faculty travel allocations and expenditures in partnership with the director. Assist Director in budget projections and planning on regular basis, including the quarterly projection and annual budget submission timetable. Partner with College Finance and Administration on data and projects relating to expenditures, employment and facilities matters. Assist program faculty in budget management on individual accounts such as research and teaching flowback accounts, including purchasing, cost allocation, and regular reconciliation.</p> <p>SUSE: Coordinate with SUSE industry partners. Coordinate communication with RISE Forum partners on contract, invoicing, project coordination, and other RISE related needs. Track and update project database regularly. Organize RISE Forum events and oversee student worker.</p> <p>SUSE: Coordinate collection of SUSE communications and work with the Director and College's Director of Communication and Marketing on program website and news. Coordinate communications to students and SUSE team outlining relevant events and deadlines as they occur throughout the academic year, including research opportunities for grants, thesis defense announcements, and conferences, as well as outreach to alumni. Oversee student worker on social media and publicity efforts and other outreach material development.</p> <p>SUSE Administrative support.</p> <ul> <li>Oversee logistical support to students with registration. Prepare graduate lists per semester and audit credits for confirmation of both MS and PhD degree completion. Maintain an excel database of MS and PhD thesis and dissertation research and track progress. </li><li>Partner with Program Director and Employment Operations Specialist on graduate assistantship appointment tracking and activation, and postdoc appointment recruitment and onboarding. Assist with adjunct faculty appointment activation as needed. </li><li>Provide program process oversight. Identify needed program actions to streamline processes or overcome gaps in program administration. Develop potential solutions or practices to meet the program needs. </li><li>Collect and analyze data for program annual report and faculty evaluations. Data includes faculty and graduate student publications and presentations, research expenditures, teaching load, students advised, and service commitments. Assist Director with maintenance of journal publications and classifications, as well as ranking metrics. </li><li>Attend program and College meetings as required by Director, take minutes and coordinate administrative tasks as a result of attendance. Partner with search committees on meeting attendance and resulting administrative tasks, as well. </li><li>Assist the Program Director with course scheduling each semester. Work with the Registrar's office on all master schedule change requests and serve as main department contact for relating matters accordingly. </li></ul> <p>VCRWS: Assist Director in monitoring and reporting on operating budgets and maintaining detailed information on academic and laboratory expenditures and other costs from data in University databases. Manage internal accounting of faculty and student travel allocations and expenditures in partnership with the director.</p> <p>VCRWS: Oversee VCRWS/ Villanova Urban Stormwater Partnership (VUSP) partner outreach and communication to include partner membership status, arranging research site tours for external constituents and building outreach components to the website. Organize and advertise monthly student meetings and quarterly newsletter. Oversee student worker on social media and publicity efforts and other outreach material development</p> <p>VCRWS: Coordinate the biennial VCRWS Stormwater Management Conference (over 300 attendees) and annual Center events and act as main logistical contact for all events. Oversee student worker on event related tasks.</p> <p>VCRWS Administrative support.</p> <ul> <li>Maintain common research documents to include laboratory capabilities, data management, and outreach plans. </li><li>Perform additional duties and assist with special projects as assigned and support faculty and students as needed for administrative research activities. </li><li>Perform other duties and assist with projects as assigned. </li></ul> <p>Minimum Qualifications:</p> <p>Formal Education</p> <ul> <li>Bachelor's degree required; combination of high school diploma and work experience may be considered </li></ul> <p>Minimum Work Experience</p> <ul> <li>The candidate must have a minimum of three to five years of relevant and applicable work experience in an administrative or academic setting. </li></ul> <p>Work Skills</p> <ul> <li>Administrative skills and office operations, preferably in an academic environment. </li><li>Proficient in spreadsheet, database, and presentation software (Microsoft Office). </li><li>Knowledge of budgeting and financial reporting, social media and other digital communications tools. </li><li>Ability to keep current with Villanova University job-related technologies and databases (e.g., applicant tracking and performance management software, student database software(s) and Banner) </li><li>Must have strong communication, organizational and problem-solving skills.
