The Department of Chemistry is seeking an Undergraduate Program Coordinator (UPC) to serve as the operational and administrative leader of our Undergraduate Program Office.</p> <p>About the Role</p> <p>The UPC plays a central role in shaping the undergraduate experience. As the primary support partner to the Co-Directors of Undergraduate Programs (Co-DUPs), you will serve as the first point of contact for students, parents, faculty, and staff on program policies, procedures, and academic matters. You will be a trusted resource, problem-solver, and advisor-ensuring students receive accurate guidance and timely support throughout their academic journey.</p> <p>Key Responsibilities:</p> <p>Student & Faculty Support</p> <ul> <li>Advise and assist Chemistry majors and non-majors on program policies and processes </li><li>Support transcript reviews, transfer credit evaluations, and Non-Degree Seeking student enrollment </li><li>Process Plan/Subplan forms and assist with CourseLeaf actions </li><li>Review degree audits, clear seniors for graduation, and approve graduates in SIS </li><li>Resolve record discrepancies in coordination with university administrative offices </li><li>Supervise temporary staff within the Undergraduate Office </li></ul> <p>Program Operations & Events</p> <ul> <li>Coordinate all aspects of Fall and Spring graduation ceremonies </li><li>Manage the senior awards process and support award selection </li><li>Serve as liaison to Undergraduate Admissions, COS Academic Affairs, Registration and Records, and other university partners </li></ul> <p>Scheduling & Systems Management</p> <ul> <li>Serve as the department's primary scheduling officer </li><li>Build and manage the semester course schedule for undergraduate and graduate offerings </li><li>Assign instructors, coordinate classroom space, and submit ASTRA requests </li><li>Enter and maintain all scheduling data in the Student Information System (SIS) </li></ul> <p>Data Analysis & Reporting</p> <ul> <li>Analyze course offerings, enrollment trends, instructor availability, credit hour production, and space utilization to support strategic planning </li><li>Prepare reports for departmental and university leadership </li><li>Compile data for accreditation and reporting requirements, including SACS, ACS (annual and five-year reports), the Southeast Chemistry Chairs Conference, and the Department Annual Report </li></ul> <p>Communications & Alumni Engagement</p> <ul> <li>Serve on the department's Communications Committee </li><li>Manage and maintain undergraduate webpages and digital content </li><li>Publish news posts and write four annual feature articles highlighting undergraduate students or alumni </li><li>Oversee Chemistry Alumni Relations in partnership with the Office of Advancement </li><li>Maintain the alumni database, coordinate communications, and organize alumni events </li></ul> <p>Outreach Support</p> <ul> <li>Assist with faculty outreach efforts to schools, scientific institutions, and industry partners </li></ul> <p>The UPC is essential to ensuring a seamless, supportive, and data-informed undergraduate program. This position combines student engagement, academic administration, event coordination, strategic reporting, and digital communications-offering a unique opportunity to make a meaningful impact across the department.</p> <p>Other Responsibilities</p> <ul> <li>Other tasks and responsibilities may be assigned based on the needs of the organization and evolving priorities. </li></ul> <p>Qualifications</p> <p>Minimum Experience/Education</p> <p>Bachelor's degree; or an equivalent combination of training and experience.</p> <p>All degrees must be received from appropriately accredited institutions.</p> <p>Preferred Qualifications</p> <ul> <li>Previous university/academic experience or education-related environment with focus on student success. </li><li>Experience with NC State Student Information System (SIS) and GoogleApps Suite & Calendar/Gmail. </li><li>Excellent interpersonal and communication skills with proven ability to provide support to internal and external stakeholders. </li><li>Ability to maintain attention to detail, stay organized and multitask in a fast-paced environment. </li></ul> <p>Required License or Certification</p> <ul> <li>N/A </li></ul> <p>Valid NC Driver's License required No Commercial Driver's License Required?
