<p>Position Summary</p> <p>The English Learner & Dual Language Programs Coordinator plays a key role in supporting the Language Development Program (LDP) through comprehensive financial oversight, accurate data management, EL data liaison between districts/states, translation services, new staff support, family engagement and advocacy. This position ensures compliance with state and federal requirements, maintains accurate and confidential records, and coordinates services that directly support multilingual students, newcomer families, and district stakeholders. The role bridges operational efficiency with cultural responsiveness, acting as a liaison between the LDP, district leadership, school staff, and the community.</p> <p>Primary Responsibilities</p> <p>General Program Support</p> <ul> <li>Generate and keep a complete, confidential, accurate, and systematic set of records for all financial transactions carried out by the Language Development and Dual Language Programs </li><li></li><li>Coordinate and submit annual reports for the Indiana Department of Education (IDOE). </li><li></li><li>Maintain a positive and professional attitude that supports teamwork and reflects a favorable image of the district. </li><li>Identify and report potential Language Minority (LM) students. </li><li></li><li>Provide district written translation in English and Spanish. </li></ul> <p>Clerical Responsibilities</p> <ul> <li>Enter, update, and verify EL student data in district and state reporting systems (e.g., PowerSchool, WIDA DRC Insight, IDOE platforms). </li><li></li><li>Support in scheduling and securing meeting dates, time, and location for training sessions and LDP/DLI meetings. </li><li></li><li>Secure substitute teachers for content and DLI teachers to attend professional development and/or meetings. </li><li></li><li>Assist with securing professional development registrations, processing travel expenses, and managing related professional development costs. </li><li></li><li>Maintain inventory of EL department materials, resources, and equipment. </li><li></li><li>Manage incoming and outgoing correspondence, including emails, letters, and official notices for EL families (WIDA Access Letters). </li><li></li><li>Coordinate and file translation and interpretation requests for schools and district events. </li><li></li><li>Maintain personnel files specific to trainings, professional development, and certifications </li></ul> <p>Reporting & Compliance</p> <ul> <li>Assist with federal and state grant applications, compliance, and reporting. </li><li></li><li>Utilize state reporting platforms and maintain data for submissions. </li><li></li><li>Prepare accurate documentation for audits by the School City of Hammond and Indiana State Board of Accounts. </li><li></li><li>Collaborate with other departments to ensure district-wide compliance in reporting. </li><li></li></ul> <p>Financial & Administrative Management</p> <ul> <li>Process and track all purchase orders, reimbursements, and payroll transactions. </li><li></li><li>Maintain and reconcile financial records for audits and reimbursement claims. </li><li></li><li>Prepare contracts for independent contractors and calculate salary/benefit increases for budget planning. </li><li></li><li>Ensure timely process and closeout of Title III and Dual Language Immersion grants. </li><li></li><li>Demonstrate working knowledge of relevant financial regulations, including Indiana State Board of Accounts guidelines. </li><li></li></ul> <p>Data Management & Analysis</p> <ul> <li>Monitor PowerSchool enrollment daily to identify LM students. </li><li></li><li>Coordinate with the Technology Department to ensure data integrity. </li><li></li><li>Elaborate and maintain HLS and district-wide WIDA ACCESS assessments. </li><li>Elaborate online tickets for WIDA ACCESS Screeners </li><li>Analyze language proficiency data and share findings with district administrators. </li><li>Maintain MLL (Multilingual Learner) records and generate state and internal reports. </li><li></li></ul> <p>Communication & Community Engagement</p> <ul> <li>Provide translation and interpretation services to ensure English Learner families can fully understand and engage with school communications, while also supporting teachers, staff, and community partners </li><li></li><li>Support in developing multilingual presentations using PowerPoint, Google Slides, or Canva. </li><li></li><li>Actively support multilingual students and act as a liaison between the LDP and other departments </li><li></li><li>Review and interpret academic transcripts from foreign countries, communicate findings to Student Services and schools, and ensure appropriate grade-level placement in accordance with state credit and graduation requirements </li></ul> <p>Skills & Qualifications</p> <p>Required:</p> <ul> <li>Bachelor's degree or equivalent. </li><li></li><li>Minimum of 5 years of experience in related fields. </li><li></li><li>Bilingual proficiency in English and Spanish (oral and written). </li><li></li><li>Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). </li><li></li><li>Strong understanding of financial systems and grant management. </li><li></li><li>Familiarity with Title III regulations and reporting requirements. </li><li></li><li>Ability to interpret and work with large student data sets (PowerSchool, Excel). </li><li></li></ul> <p>Preferred:</p> <ul> <li>Experience in a bilingual or dual-language educational setting. </li><li></li><li>Knowledge of accounting and financial software. </li><li></li><li>Prior experience with state or federal grants and audit procedures.
