<p>This 30-hour per week part-time position assists with the duties of the Clinic Administrative Assistant at the Gebbie Clinic. Responsibilities include managing all scheduling for either the Speech-Language or Hearing Clinic, ensuring seamless coordination of provider, student, room, and patient availability. The role also involves regularly covering reception duties when the Administrative Assistant is working elsewhere or on vacation/leave, handling client communication, processing referrals, and managing walk-in clients. The part-time assistant will help maintain accurate client records, facilitate payment and billing for services, and support the overall operations of the clinic to ensure high-quality patient service and efficient functioning of the teaching clinic.</p> <p>Education and Experience</p> <ul> <li>Associates degree or equivalent experience in healthcare, business, or related field required, Bachelor's degree in healthcare/business related field. </li><li>Medical/healthcare clinic or office experience. </li><li>Experience in administrative roles, including scheduling, records management, and customer service. </li><li>Proficiency in using electronic medical records (EMR) systems. </li><li>Familiarity with HIPAA regulations and compliance. </li><li>Experience in handling billing and payment processing in a healthcare setting. </li><li>Knowledge of speech-language pathology and audiology services. </li></ul> <p>Skills and Knowledge</p> <ul> <li>Excellent customer service skills, with a friendly and empathetic attitude. </li><li>Effective communication skills, both verbal and written. </li><li>Strong computer skills. </li><li>Highly organized, meticulous, able to handle stressful situations and multitask effectively. </li><li>Reliable, punctual, trustworthy, and maintains a high work ethic and professional appearance. </li><li>Capable of working independently and as part of a collaborative team. </li></ul> <p>Responsibilities</p> <ul> <li>Assisting with all aspects of clinic desk operations for Gebbie Speech-Language and Hearing Clinics. </li><li>Greet all visitors including clients, walk-ins, vendors, research participants, students, etc. </li><li>Client check-in and check-out: verify information, collect co-pays, provide forms, schedule follow-ups. </li><li>Handle all phone calls and communications from and to clients and outside providers/agencies. </li><li>Manage and maintain accurate patient records per HIPAA guidelines. </li><li>Assist with referral and new client management and waitlists. </li><li>Maintain updated appointment calendars and schedule appointments for providers and clients for either Speech-Language or Hearing Clinic. </li><li>Use electronic medical records system (EMR) for client communication, scheduling, records, entering charges, and patient payments. </li><li>Assist service providers with administrative tasks, client records and communication, and routine clinic office tasks. </li><li>Support clinic directors, providers, students and other staff members. </li><li>Participate in collaborative team meetings and collectively support clinical mission. </li><li>Assist clients with using the patient portal, transportation, and other needs. </li><li>Foster positive relationships between clinic and community and within clinic team. </li></ul> <p>Physical Requirements</p> <p>Not Applicable</p> <p>Tools/Equipment</p> <p>Not Applicable</p> <p>Application Instructions</p> <p>In addition to completing an online application, please attach a resume and cover letter.</p>
