<p>Position Title: Admin Assistant/ Administrative Coordinator / Executive Support Specialist</p> <p>Location: Charlotte, NC (Hybrid)</p> <p>Clearance Requirements: None</p> <p>Position Status: Contract (6-18 months)</p> <p>Pay Rate: $30/hr</p> <p>Position Description</p> <p>We are seeking a highly organized, proactive Administrative Coordinator to support a fast-paced analytics and business leadership team. This role is ideal for a detail-oriented professional who thrives in dynamic environments, excels at multitasking, and anticipates needs before they arise. You'll serve as a key operational partner, ensuring schedules, logistics, and communications run seamlessly while maintaining a polished, professional presence.</p> <p>Core Responsibilities</p> <ul> <li> <p>Manage complex calendars, schedule meetings, coordinate locations, and track attendance</p> </li><li> <p>Proactively identify and resolve scheduling conflicts</p> </li><li> <p>Coordinate travel arrangements, itineraries, and expense reporting</p> </li><li> <p>Plan meetings and events, including logistics and catering</p> </li><li> <p>Prepare memos, reports, presentations, correspondence, and meeting minutes</p> </li><li> <p>Maintain department calendars and support leadership schedules</p> </li><li> <p>Track department movement and space coordination through internal systems</p> </li><li> <p>Order and manage office supplies and inventory</p> </li><li> <p>Support special projects and operational initiatives as needed</p> </li><li> <p>Represent the department and leadership with professionalism and discretion</p> </li></ul> <p>Required Skills/Education</p> <ul> <li> <p>3-5 years of administrative, executive support, or office coordination experience</p> </li><li> <p>Strong calendar management and scheduling expertise</p> </li><li> <p>Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams)</p> </li><li> <p>Excellent written and verbal communication skills</p> </li><li> <p>Proven ability to multitask, prioritize, and work independently</p> </li><li> <p>Experience booking travel and managing expense reports</p> </li><li> <p>High school diploma or equivalent required</p> </li><li> <p>Associate degree or secretarial/business training preferred</p> </li></ul> <p>What Makes You Stand Out</p> <ul> <li> <p>Experience supporting leaders or departments in corporate environments</p> </li><li> <p>Strong organizational and time-management skills</p> </li><li> <p>Ability to remain calm and adaptable in fast-changing situations</p> </li><li> <p>High attention to detail and strong problem-solving ability</p> </li></ul> <p>About Seneca Resources</p> <p>At Seneca Resources, we are more than just a staffing and consulting firm-we are a trusted career partner.
