<p>The Facilities Coordinator helps provide and maintain facilities for Church members, visitors, and friends to worship, teach, learn, pray together, make and renew covenants, and receive sacred ordinances. Each Church facility should provide a spiritual setting for worship and present an image of reverence and dignity.</p> <p>This position:</p> <ul> <li>Assists the Facilities Manager to ensure timely maintenance to facilities using established processes and standards of maintenance, repair, and replacement. </li><li>Provide administrative support to a Facilities Management workgroup. </li><li>Customer Support: Acts as the first point of contact for all incoming phone and email queries for the Facilities Management Group (FMG) and responds to customers in a timely manner. </li><li>Administrative Support: Schedule meetings, prepare agendas, coordinate team calendars, and ensure timely follow-ups on action items. </li><li>Documentation Management: Maintain project files, including contracts, permits, insurance, and other critical documents. Ensure records are updated, organized, and compliant with company and regulatory standards. Assist in drafting and distributing project updates to stakeholders. </li><li>Financial Support: Process invoices, expense reports, purchase orders, and payment requests. Support cost management by monitoring expenditures and identifying variances. </li><li>Compliance and Risk Management: Monitor and ensure all required permits, licenses, and insurance documents are current and properly filed. Assist in compliance with safety and regulatory standards as needed. </li><li>Two years post high school education </li><li>Ability to travel as required </li><li>Three to five years of diverse administrative/clerical experience or equivalent demonstrating the following required attributes, aptitude, and skills: </li><li>Skills: Advanced proficiency in Microsoft Office Suite. Understanding of project accounting and budgeting principles. Basic business accounting skills, including understanding of invoices, purchase orders, contracts. Robust problem-solving skills, effective time management, relationship management, and prioritization skills. Organizational skills including filing, scheduling, time management and prioritization. Superior communication skills with a demonstrated ability to write and edit effectively. Professional phone etiquette and effective business writing. </li><li>Attributes: Ability to work independently and with little or no supervision. Capable of making sound decisions in diverse situations, with excellent written and verbal communication, administrative, and organizational abilities. Professional appearance and demeanor. Ability to work with sensitive and highly confidential information with poise, tact, and diplomacy. </li></ul> <p>Required: IFMA Training</p> <ul> <li>Essentials of Facility Management (to be completed within 6 months of hire date) </li></ul> <p>Only members of the Church who are worthy of a temple recommend qualify for employment.
