<p>HIRING: Administration Assistant</p> <p>Location: New York City (In Person 5 days a week)</p> <p>Schedule: Full-time, Monday-Friday</p> <p>Compensation: $60,000-$70,000 annually</p> <p>Position Summary</p> <p>We are seeking a highly organized, proactive Administrative Assistant who is a team player and comfortable taking initiative. Reporting directly to the Program Manager, the Administrative Assistant provides administrative and operational support to a team of 3-4 staff members, ensuring program deliverables remain on schedule and aligned with program goals and objectives.</p> <p>Key Responsibilities</p> <p>Responsibilities include, but are not limited to:</p> <ul> <li>Maintain and manage the program calendar, including workshops, assessments, growth goals, one-on-one sessions, and events; provide a one-month look-ahead for all program trainings and activities </li><li>Coordinate and manage workshop logistics, including inviting mentor firms, tracking attendance and no-shows, sending reminders to non-responsive participants, and confirming attendance via phone one day prior to workshops </li><li>Develop workshop quizzes in collaboration with Subject Matter Experts (SMEs); distribute quizzes within one day post-workshop, grade submissions, and report results to mentor firms and the client </li><li>Track quiz performance, monitor mentors scoring below 70%, and administer makeup quizzes as needed; maintain a running progress report for all mentors </li><li>Coordinate with the BDD administrative team to reserve conference rooms, arrange refreshments, and provide final attendee counts, including access lists requiring official/government ID </li><li>Develop and distribute post-workshop surveys to assess engagement, content effectiveness, and SME presentation quality; compile and tabulate results for monthly reporting </li><li>Prepare and manage workshop equipment, including uploading approved presentations, charging devices, and ensuring microphones, cameras, and related equipment are fully operational </li><li>Conduct equipment dry runs at the Bravo Office and, when necessary, at the SCA location prior to workshops; coordinate with SCA IT regarding system updates and compatibility </li><li>Print presentation materials and Run of Show (ROS) documents for SCA VIP staff </li><li>Take detailed notes during workshops, track participant questions, and assist with follow-up responses </li><li>Capture short (1-2 minute) videos of SME interactions for use in future training modules and quizzes </li><li>Upload attendance sheets to the shared drive and submit copies to SCA, including summary statistics (attendance, no-shows, and total counts) </li><li>Communicate with no-show participants to reinforce attendance commitments per Participation Agreements, copying SCA as required </li><li>Send post-workshop follow-ups to graduate mentor firms, including quizzes, unanswered questions, and surveys; track completion and maintain records by workshop </li><li>Schedule and track SME one-on-one sessions, coordinating in-office or virtual meetings and providing public transportation travel guidance from Bradford Headquarters when applicable </li></ul> <p>Skills & Qualifications</p> <ul> <li>Strong command of written and spoken English </li><li>Excellent interpersonal and communication skills </li><li>Minimum of 2 years of experience providing administrative support to a team of two or more </li><li>Strong typing and organizational skills with attention to detail </li><li>Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Constant Contact </li><li>Ability to work effectively with diverse cultures, ethnicities, and religions </li><li>Strong critical thinking skills; self-motivated and able to work independently </li><li>Bachelor's degree preferred; relevant professional experience may substitute for formal education </li></ul> <p>Job Type & Location</p> <p>This is a Permanent position based out of New York, NY.</p> <p>Pay and Benefits</p> <p>The pay range for this position is $40.00 - $61.00/hr.</p> <p>Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
