<p>General Statement of Duties:</p> <p>The Administrative Manager plays a central leadership role in overseeing the daily administrative operations of a dynamic human services organization. Reporting to the Director of Administrative Support and supporting the President & CEO, this position supervises a team of three administrative professionals, ensures seamless office operations, manages high-level projects, and serves as a key liaison to the Board of Directors. This role also oversees event logistics, project workflows, and safety coordination including acting as Fire Warden for the Brockton office.</p> <p>Supervisory Responsibilities:</p> <ul> <li>Supervise and coach a team of three administrative professionals, fostering high performance, accountability, and continuous growth. </li><li>Provide regular performance feedback, identify development needs, and ensure appropriate workload distribution. </li><li>Coordinate administrative coverage across departments and maintain scheduling for front desk coverage. </li></ul> <p>Key Responsibilities:</p> <p>Executive & Board Support</p> <ul> <li>Provide comprehensive administrative support to the President & CEO, including managing a complex calendar, email inbox, and communications. </li><li>With the direction of EVP of Strategy serve as liaison to the Board of Directors: schedule meetings, prepare and distribute agendas and minutes, maintain bylaws, policies, and onboarding documents. </li><li>Ensure timely and accurate submission of state and federal filings and official correspondences. </li></ul> <p>Project Management</p> <ul> <li>Lead cross-functional administrative projects from planning through execution, ensuring milestones, resources, and follow-ups are well-managed. </li><li>Track and communicate the progress of key projects, action items, and organizational initiatives across departments. </li></ul> <p>Event Planning & Logistics</p> <ul> <li>Coordinate logistics for organizational events, board and committee meetings, trainings, and special gatherings. </li><li>Delegate the management of event communications, tech setup, materials preparation, catering, and onsite support to ensure a seamless experience for participants. </li><li>Organize and minutes the executive team meeting, Quality Council, and Roundtable. </li></ul> <p>Administrative Operations</p> <ul> <li>Oversee administrative support services for executive and senior leadership, ensuring consistent service delivery and responsiveness. </li><li>Support process improvements in administrative operations, identifying ways to streamline workflows and enhance service delivery. </li><li>Supports the EVP Strategy and Development in projects/committees/initiatives by conducting research, data entry, creating spreadsheet and collateral. </li></ul> <p>Office Safety & Facilities Coordination</p> <ul> <li>Serve as the designated Fire Warden for the Brockton office, ensuring compliance with all safety protocols and coordinating emergency procedures. </li><li>Monitor physical office safety needs, respond to minor facility concerns, and escalate issues as needed. </li><li>Collaborate with Facilities and HR to uphold safety standards, manage drills, and promote a secure working environment. </li></ul> <p>Qualifications:</p> <ul> <li>Bachelor's Degree preferred; equivalent experience considered. </li><li>Minimum 5 years of experience supporting C-level executives, with 2+ years in a supervisory or team leadership capacity. </li><li>Prior experience in a human services or nonprofit environment strongly preferred. </li></ul> <p>Key Competencies & Skills</p> <ul> <li>Leadership & People Management: Proven ability to supervise, coach, and motivate staff; sets clear expectations and fosters a collaborative team culture. </li><li>Project & Time Management: Skilled in organizing complex tasks and projects across multiple departments and stakeholders. </li><li>Event Logistics: Capable of planning and executing in-person meetings and events with attention to detail and strong follow-through. </li><li>Communication: Excellent written and verbal communication skills with the ability to engage professionally at all levels of the organization. </li><li>Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting tools (Teams, Zoom). </li><li>Adaptability & Initiative: Comfortable navigating change, prioritizing under pressure, and stepping up proactively to solve problems. </li><li>Discretion & Confidentiality: Maintains the highest level of integrity in handling sensitive information. </li></ul> <p>Work Environment & Culture</p> <p>As part of BAMSI's core administration, the Administrative Manager plays a key role in ensuring smooth internal operations and reinforcing a culture of excellence and care. The position is based full-time at the Brockton headquarters and serves as a visible, trusted resource across departments.</p>
