<p>Description FREEMAN SCHOOL DISTRICT NO. 358</p> <p>Job Description</p> <p>JOB TITLE: Administrative Assistant to the Superintendent</p> <p>SUMMARY: Provides office clerical assistance and personnel assistance to superintendent by</p> <p>performing the following duties.</p> <p>ESSENTIAL DUTIES AND RESPONSIBILITIES:</p> <ul> <li>Administrative Support </li></ul> <p>Provides comprehensive administrative assistance to the superintendent, including confidential correspondence, state reports, scheduling, and meeting preparation.</p> <ul> <li>Calendar and Travel Coordination </li></ul> <p>Manages superintendent's calendar, schedules appointments, and arranges travel as needed.</p> <ul> <li>Board of Directors Support </li></ul> <p>Attends board meeting, prepares and distributes Board meeting packets, records meeting minutes and coordinates communication with Board members.</p> <ul> <li>Personnel and HR Support </li></ul> <p>Maintains personnel records, prepares contracts, supports reporting, and manages hiring and substitute teacher processes.</p> <ul> <li>Payroll and Financial Support </li></ul> <p>Assists with payroll, accounts payable, and preparation of budget documents.</p> <ul> <li>Communication and Public Relations </li></ul> <p>Coordinates district newsletter production and distributes information to various stakeholders, including external agencies.</p> <ul> <li>Meeting and Event Coordination </li></ul> <p>Schedules and organizes meetings, reserves locations, sends notices, prepares agendas, and maintains related records.</p> <ul> <li>Clerical and Office Operations </li></ul> <p>Performs general office duties such as handling mail, phones, filing, and preparing forms, purchase orders, and other documents. Manages office equipment and ordering.</p> <ul> <li>Records and Information Management </li></ul> <p>Maintains organized filing systems for correspondence, reports, and other materials, both physical and digital.</p> <ul> <li>Research and Data Management </li></ul> <p>Guides research projects, compiles operational statistics, and gathers data as needed for decision-making and reporting.</p> <ul> <li>Special Projects </li></ul> <p>Leads or assists with special projects, research efforts, and material distribution at the superintendent's direction. Coordinates annual events.</p> <ul> <li>Technology and System Use </li></ul> <p>Utilizes district systems (e.g., Skyward) for administrative and personnel-related functions.</p> <ul> <li>Other Duties as Assigned </li></ul> <p>Performs additional tasks and responsibilities as delegated by the superintendent</p> <p>QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.</p> <p>EDUCATION and/or EXPERIENCE: Minimum of two years college or business college; and three years related experience and/or training.</p> <p>LANGUAGE SKILLS:</p> <p>Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with patrons or employees of organization.</p> <p>MATHEMATICAL SKILLS:</p> <p>Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.</p> <p>REASONING ABILITY:</p> <p>Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.</p> <p>PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
