<p>What You'll Do:</p> <ul> <li>Acts as the Department's primary Front Desk Receptionist. This role includes: </li><li>Managing the Department's Front Desk phone line. </li><li>Providing routine information to internal and external customers in response to inquiries, requests and/or complaints by telephone and/or email. </li><li>Transferring calls to other divisions as needed, including taking voicemails and following up with customers as needed. </li><li>Greeting and directing customers and notifying the appropriate staff of their arrival. </li><li>Receiving and notifying staff of special delivery mail and/or packages. </li><li>Providing general information concerning agency operations and services. </li><li>Performs clerical and administrative support tasks. This role includes: </li><li>Entering, updating, correcting, sending, and maintaining reports and other data. </li><li>Retrieving data to verify and distribute information and/or give status updates. </li><li>Scheduling conference rooms, appointments, and/or meetings. </li><li>Logging & tracking calls and/or other information. </li><li>Cataloging, filing, and distributing documents. </li><li>Scanning, imaging, and saving files in internal databases. </li><li>Responding verbally & in writing to inquiries from employees and the public. </li><li>Completes other HR duties as assigned. This role includes: </li><li>Participating in departmental committees. </li><li>Attending and coordinating departmental meetings, fairs, or other events. </li><li>Receiving training on an ongoing basis in assigned areas. </li></ul> <p>What We're Looking For:</p> <ul> <li>Experience as a Front Desk Receptionist or in a similar role. </li><li>Experiencing answering a multiline phone system. </li><li>Experience with performing administrative tasks such as filing, scanning, making copies, and maintaining reports and/or records. </li><li>The ability to take calls in a helpful and professional manner, resolve routine complaints, and direct callers to appropriate resources. </li><li>A willingness to learn and collaborate with others on a variety of projects. </li></ul> <p>9 mos. trg. or 9 mos. exp. in office practices & procedures; 9 mos. trg. or 9 mos. exp. in public relations or customer service that included techniques for handling difficult people; 9 mos. trg. or 9 mos. exp. in typing, keyboarding, data entry or word processing; 9 mos. trg. or 9 mos. exp. in operation of personal computer.</p> <ul> <li>Or equivalent of Minimum Qualifications for Employment noted above. </li></ul> <p>Job Skills: Customer Service</p>
