<p>Are you an organized multitasker who thrives in a fast-paced environment and enjoys being at the center of communication, coordination, and operations?</p> <p>We are seeking a Front Office & Marketing Administrator professional to serve as the welcoming face of our corporate office while also providing high-level administrative, communications, and operational support across the organization.</p> <p>This position blends office administration, reception, and marketing communication into a dynamic role build for growth.</p> <p>Key Benefits:</p> <ul> <li>$0 Deductible health insurance with low-cost premiums </li><li>Profit Sharing </li><li>401k with market-leading employer match </li><li>Dental and vision coverage </li><li>Paid Time Off: 18 days starting in year one </li><li>Paid holidays </li><li>Tuition Reimbursement </li><li>Additional company-paid benefits include Short Term/Long Term Disability and Life Insurance </li></ul> <p>Key Responsibilities:</p> <p>Marketing, Communications & Digital Presence</p> <ul> <li>Support company social media platforms, content posting, and engagement. </li><li>Manage calendars </li><li>Assist with creating posts, graphics, video production, and promotional materials using Adobe, Canva, and related tools. </li><li>Manage updates to the company website, including content, events, forms, and SEO fundamentals. </li><li>Assist with newsletters, interoffice communications, and digital announcements. </li><li>Support QR codes, Linktree updates, and online content distribution. </li><li>Coordinate promotional items, giveaways, corporate gifts, and employee recognition campaigns. </li><li>Support collaboration with outside marketing and industry partners. </li></ul> <p>Front Office</p> <ul> <li>Greet and assist all visitors professionally while ensuring sign-in and security protocols are followed. </li><li>Answer and route all inbound calls to appropriate departments. </li><li>Maintain a clean, welcoming lobby and common areas. </li><li>Manage office, kitchen, and supply inventory. </li><li>Process incoming and outgoing mail, packages, scanning, copying, and correspondence support. </li><li>Support meeting logistics, internal events, and conference room setup. </li><li>Coordinate furniture orders, décor updates, signage placement, and office improvements. </li></ul> <p>Administrative Support</p> <ul> <li>Provide administrative support to executives and leadership teams. </li><li>Schedule meetings, manage calendars, and coordinate executive travel and itineraries. </li><li>Maintain confidentiality and accuracy of sensitive documents. </li><li>Track memberships, subscriptions, and recurring administrative expenses. </li><li>Review and code credit card statements and track balances related to events and travel. </li><li>Maintain company master files, physical records, and key documentation. </li><li>Support invoice research and administrative coordination with accounting as needed. </li><li>Assist with advisory board and affiliate communications. </li><li>Help coordinate customer outings, industry events, and registrations. </li><li>Assist and coordinate company location renovations (vendors, ordering furniture, scheduling etc.) </li><li>Manage maintenance lists and coordinate fixing vs. replacement. </li></ul> <p>Events, Culture & Community Engagement</p> <ul> <li>Assist with planning and execution of company events such as retreats, picnics, holidays, and internal culture initiatives. </li><li>Coordinate corporate giveaways, appreciation gifts, and milestone recognition. </li><li>Support participation in community events and industry functions. </li><li>Manage ticket distribution, event tracking, and related communications. </li></ul> <p>Qualifications:</p> <ul> <li>Minimum of 2 years of administrative, office operations, communications, or front desk experience. </li><li>High school diploma or GED required; associate degree preferred. </li><li>Proficient in Microsoft Word, Excel, Outlook. </li><li>Experience with Canva, Adobe Creative Suite, WordPress, social media platforms, and video editing preferred. </li><li>Strong written and verbal communication skills. </li><li>Highly organized with strong attention to detail. </li><li>Ability to manage sensitive and confidential information professionally. </li><li>Comfortable working with team members at all levels of the organization. </li><li>Bilingual in English and Spanish preferred. </li></ul> <p>Work Environment & Physical Requirements:</p> <ul> <li>100% in-office role with frequent in-person interaction. </li><li>Regular phone use, visitor engagement, and multi-department support. </li><li>Ability to lift and carry items up to 50 lbs as needed. </li><li>Extended periods of sitting, standing, and walking during administrative and event activities. </li></ul> <p>EOE/M/F/Disabled/Veteran/DFSP</p>
