Will track back orders and shortages and communicate with project leaders, superintendents and other required parties. The Purchase & Collections Leader is also responsible for tracking inventory and purchases in Microsoft Dynamics AX.</p> <p>JOB QUALIFICATIONS:</p> <ul> <li>Maintain communication with project leaders and superintendents to provide updates on short-lead and overnight purchase requirements. </li><li>Develop relationships with quality vendors to secure improved pricing. </li><li>Communicate backorders or other delays that effect job schedules immediately to the appropriate department and project leaders. </li><li>Set clear expectations with departments with regards to realistic delivery schedules. Do not overpromise. </li><li>Minimize overhead costs by using all excess shop stock before ordering new tools and materials. </li></ul> <p>EDUCATION AND CERTIFICATIONS:</p> <ul> <li>High school diploma/GED required; Associate degree preferred </li><li>Previous experience in an office/administrative setting required. </li><li>Moderate to advanced computer skills, including use of a computer operated phone system </li><li>Familiar with Microsoft Office products </li><li>Notary Public a plus but not required. </li></ul> <p>ESSENTIAL DUTIES AND RESPONSIBILITIES:</p> <ul> <li>Responsible for collections for each account; applies standard due diligence practice to collect monies owed and maintains collections notes in accounting system. </li><li>Coordinate with the shop foreman to determine purchase requirements versus stock on hand for project materials requirements. </li><li>Ensure proper billing by comparing purchase orders to invoices. </li><li>Communicate frequently with vendors to confirm delivery dates. </li><li>Accurately prepares and invoices service and inspection customers per the requirements of the job and the customer to ensure the customers preferred billing procedures are followed.
