You will be required onsite</p> <p>We are seeking a proactive Administrator to support the project team at our Wallingford development. This role involves ensuring health & safety compliance, coordinating meetings, and managing day-to-day administrative functions.</p> <ul> <li>Track and file Risk Assessment & Methods Statement (RAMS); manage weekly Toolbox Talk (TBT) communications and tracker updates. </li><li>Maintain site rota (holidays, inductions, training, etc.) and project meeting diaries, including booking and coordination of onsite meeting rooms. </li><li>Liaise with Customer Relations team; maintain Demo & Handover Snagging tracker. </li><li>Issue proof of delivery & waste tickets on QFlow, the sustainability management system. </li><li>Process PPE requests. </li><li>Manage site supplies, including ordering stationery, consumables, and welfare items. </li><li>Raise subcontractor payments and assist with PPAC system issues. </li><li>Support induction processes and complete Datascope cards (construction workforce management system) </li><li>Maintain accurate records for training, headcount, workforce analysis, and apprentices. </li></ul> <p>MONTHLY</p> <ul> <li>Collate and upload sustainability data (utility meters, fuel receipts) to CR360. </li><li>Update Sustainability, Timber, and Contractor Performance boards. </li><li>Assist with monthly Housing Association Developer reports. </li></ul> <p>Additional Duties:</p> <ul> <li>Handle IT queries, produce signage, and support compound maintenance. </li><li>Welcome visitors and manage deliveries. </li><li>Draft resident communications for disruptive works. </li><li>Support Considerate Constructors Scheme assessments. </li><li>Provide ad hoc administrative support to the Site Admin Manager and Construction Director. </li><li>Attend, monitor, and minute site meetings. </li><li>Full UK driving licence and willingness to travel to other sites or head office (Taplow) as required. </li><li>Confident in minute-taking and communicating with senior stakeholders, including Directors and the Ops Board. </li><li>Flexible to provide holiday cover at other sites when needed. </li><li>Proficient in Microsoft Outlook (including diary management), Excel, and Word. </li><li>Strong attention to detail with excellent organisational skills. </li><li>Effective communicator with strong verbal skills. </li><li>Able to work independently and collaboratively within a team. </li><li>Adaptable and open to change. </li><li>Capable of managing workload and prioritising tasks efficiently. </li></ul>
