<p>Posting Details</p> <p>Position Information</p> <p>Posting Number S000920 Position Title Campus Postal & Print Center Assistant Department Business Operations Division Facilities Planning and Operations Supervisor Title Supervisor, Campus Postal/Print Services Status Part Time Regular Salary Range $16-$17/Hr. Position Summary</p> <p>The Mailroom and Print Shop Assistant supports the College's mailroom and print shop operations by ensuring efficient handling of incoming and outgoing mail, as well as assisting with high-volume printing and copying tasks. This position plays a critical role in processing time-sensitive materials, managing large print jobs, and maintaining accurate records for postage and service costs.</p> <p>The preferred schedule for this position is Monday through Friday, 8:00 a.m.-12:00 p.m. (approximately 20 hours per week). While this standard schedule is ideal, occasional adjustments may be needed to accommodate departmental needs. Some flexibility is available, though shifts are generally structured in 4-hour blocks across five days per week.</p> <p>Description of Key Responsibilities</p> <p>Mailroom Operations:</p> <ul> <li>Coordinate and conduct the daily pick-up and delivery of mail and packages across campus, utilizing a College vehicle. </li><li>Sort incoming mail and packages, identifying whether they are for faculty, staff, or students, and deliver or file them in the appropriate locations. </li><li>Process routine and special mailings, including bulk mail, ensuring proper preparation (e.g., registered or certified mail). </li><li>Complete necessary USPS forms, calculate postage based on size, weight, and automation compatibility, and deliver mail to the post office. </li><li>Process and package items for shipping with alternative carriers (UPS, FedEx, etc.), ensuring proper documentation and charges. </li><li>Maintain accurate records for tracking postage and shipping costs, and periodically forward this information to the Business Office for billing. </li><li>Replenish postage meters and process USPS credit requests for errors and prepaid return envelopes. </li><li>Ensure timely payment of USPS annual fees and postage-related expenses through the College's purchasing system. </li></ul> <p>Print Shop Support:</p> <ul> <li>Operate high-volume duplicating equipment and perform associated tasks such as copying, binding, laminating, and poster making. </li><li>Perform regular checks to ensure convenience copiers are functioning properly and conduct minor repairs such as clearing paper jams. </li><li>Maintain records for copier usage and supply inventory, calculating job charges and ensuring accurate billing. </li><li>Respond to service calls and coordinate customer requests for print jobs, ensuring quality and timely completion. </li><li>Deliver completed print jobs to designated locations on campus. </li><li>Maintain cleanliness and organization of the print shop and copier areas, ensuring they are stocked and operational. </li></ul> <p>Other Duties:</p> <ul> <li>Assist the manager in supervising student workers, ensuring they stay on task and have sufficient work to complete. </li><li>Assist with filing and archiving documents as required. </li><li>Perform miscellaneous duties as assigned by the supervisor, including assisting with print shop tasks during busy periods. </li></ul> <p>Provide additional assistance in the print shop during peak periods.</p> <p>Required Knowledge, Skills and Abilities</p> <ul> <li>Postal and Shipping Knowledge: Knowledge of postal rates, regulations, and procedures for alternative delivery services. Ability to apply this knowledge to minimize costs while ensuring timely and accurate delivery (e.g., registered and certified mail). </li><li>Organization and Time Management: Strong organizational skills, attention to detail, and the ability to prioritize and manage a high volume of tasks with minimal supervision. </li><li>Technology Proficiency: Experience with Microsoft Word, Excel, PowerPoint, email systems, and basic office equipment. Familiarity with mail management systems and technologies is a plus. </li><li>Mathematical and Record-Keeping Skills: Ability to calculate postage charges based on variables such as size, weight, and delivery method. Proficient in maintaining detailed records, verifying data, and compiling reports for billing and departmental charges. </li><li>Equipment Operation: Ability to safely and efficiently operate a variety of equipment, including postage meters, bindery machines, copiers, paper cutters, shrink-wrap machines, and scales. </li><li>Physical Requirements: Ability to lift and move packages, mail sacks, and other materials up to 50 pounds. Must be capable of standing for extended periods and navigating various work areas. </li><li>Communication Skills: Strong verbal and written communication skills to interact effectively with both internal and external stakeholders, including faculty, staff, students, and postal service employees, often under tight deadlines. </li><li>Customer Service: Ability to represent the College positively when interacting with the campus community and external vendors, ensuring a professional and helpful demeanor at all times. </li><li>Adaptability: Ability to learn quickly and contribute positively to the College's operations, culture, and mission. </li></ul> <p>Distinguishing Characteristics</p> <p>The efficiency with which outgoing mail is processed directly affects virtually all College operations. In particular, the handling of time-sensitive material, such as bulk mailings which announce an upcoming event, can be critically important. Provides operations function in one or all of the following areas: operates high volume duplicating equipment, performs associated copying tasks, ships and receives product and supplies, sorts, distributes and handles incoming and outgoing mail/faxes, as well as applies necessary postage. It is essential, therefore, that the individual in this position be capable of consistently performing at a high level of efficiency.</p> <p>It is also important that this person be able to interact positively with members of the campus community and be an effective representative of the College when dealing with others, such as postal service employees, at times under stressful conditions due to critically important deadlines.</p> <p>This position entails a considerable amount of record keeping and organization of data which impacts the integrity of the College's accounting system regarding the charging of organizational units for postage costs.</p> <p>Education/Training</p> <p>High school diploma or equivalent required.</p> <p>Experience</p> <p>Minimum of two years' experience in a computerized office environment, with a focus on word processing, database management, and spreadsheets. Experience with postal services and regulations is highly preferred. Prior experience in a print shop or mailroom environment is beneficial but not required.</p> <p>Licenses or Certifications</p> <p>Valid driver's license and acceptable driving record is required.</p> <p>Is This a Temporary Position?
