The position may or may not become permanent. </li></ul> <p>Job Summary</p> <p>Provides complex clerical and technical support functions in the Total Rewards Department (Benefits) under the Department of People and Culture (Human Resources) to include customer service, Help Desk, clerical and data integrity related tasks necessary to the efficient and effective operations of a full-service office to meet the needs of active and retired City employees' customer base.</p> <p>Duties & Responsibilities</p> <p>Include but are not limited to the following:</p> <ul> <li>Greets customers and serves as a point of contact for the Total Rewards (Benefits) office, answering telephones and directing callers, answering questions, and providing assistance to visitors. </li><li>Assists employees and retirees by answering routine and complex questions related to their health and other employee/retiree-based benefits. </li><li>Engages in problem solving to resolve employee/retiree questions or concerns regarding benefits and refers particularly challenging matters to colleagues or a supervisor as necessary. </li><li>Prepares and sends employee and retiree communications and notifications on a variety of topics including but not limited to Medicare eligibility and COBRA and tracks applicable responses. </li><li>Assists in onboarding of new City and School employees, where applicable, and participating in benefit-related meetings as needed. </li><li>Works with others to process reimbursements and track associated documentation in support of coordination of benefits. </li><li>Prepares and maintains spreadsheets with simple formulas for a variety of routine and ad-hoc projects necessary to the management of a complex benefits program. </li><li>Prepares, maintains, and updates enrollment packages and benefits communication documents for employees and retirees. </li><li>Scans, saves, and files documents on computer database, software applications, and/or in paper files. </li><li>Collaborates with colleagues to review, analyze, reconcile, and process vendor bills by reviewing applicable reports and invoices. </li><li>Assists in coordination and implementation of wellness initiatives including programming, events, vaccination clinics, and employee communications. </li><li>Strictly adheres to departmental rules on confidentiality. </li><li>Performs all other related duties as required. </li></ul> <p>Minimum Qualifications</p> <ul> <li>High school diploma or equivalent and a minimum of two (2) years of experience in a position requiring clerical and customer service skills; or a combination of education and experience that is substantially equivalent. </li><li>Working knowledge of City benefit plan designs such as medical, dental, vision, EAP, and other relevant plans. </li><li>Experience with benefit correspondence drafting and processing, including general billing components. Knowledge, Skills, and Abilities (KSAs) </li><li>Knowledge of Excel or similar spreadsheet software at a level necessary to create simple formulas and collate data for useful analysis. </li><li>Knowledge of word processing, email and calendar software commonly used in office environments. </li><li>High level customer service skills necessary to help clients navigate complex benefit options and issues. </li><li>Must be able to compose, proof and edit letters, documents and forms utilized in a business office. </li><li>Must be able to communicate in person and over the phone in friendly, clear and concise terms. </li><li>Must be able to operate human resources database system. </li><li>Must be able to receive, understand, and protect confidential information. </li><li>Must be able to perform the essential functions of the job. </li></ul> <p>Training Requirements</p> <p>Upon Appointment:</p> <ul> <li>Must gain a working knowledge of Departmental technology and database systems through on-the-job usage and training within six (6) months. </li><li>Successful completion of a customer service training course within six (6) months of appointment. </li><li>Must gain a working knowledge of benefits plans applicable to City and School employees and retirees within six (6) months. </li></ul> <p>Sustainment:</p> <ul> <li>Periodic training to maintain proficiency in Departmental technology and database systems. </li><li>Participation in refresher training courses in customer service, ethics, and diversity/sensitivity training every 24 months. </li><li>Periodic review of benefit plans to maintain knowledge of applicable component of plans applicable to School and City employees and retirees. </li></ul> <p>EXTERNAL CANDIDATES - APPLY HERE</p> <p>CURRENT EMPLOYEES (1033 ONLY) - APPLY HERE</p>
