Nearly every CF medicine available today was made possible because of Foundation support.</p> <p>POSITION SUMMARY:</p> <p>The Lab Operations Administrator is a proactive problem-solver with strong organizational skills, dedicated to ensuring the smooth operation of non-experimental tasks and activities. This role allows scientists to concentrate on their research by managing administrative and operational duties. The person in this position collaborates with all Lab staff members and liaises with other departments across the Foundation, effectively representing the Lab.</p> <p>ESSENTIAL DUTIES AND RESPONSIBILITIES:</p> <ul> <li> <p>Buyer and/or requisitioner for supplies and materials ordered by Lab staff. Utilizing the established Workday financial platform and approval process, this role ensures timely and accurate procurement of necessary items.</p> </li><li> <p>Use good judgement when suggesting and selecting items for purchase.</p> </li><li> <p>Expert user of Workday financial platform and primary contact for issues and resolutions between Lab and Accounts Payable to ensure compliance with financial and audit procedures.</p> </li><li> <p>Coordinate and plan meetings and events, including travel arrangements, scheduling, and meal planning. Responsibilities include maintaining, setting up, and stocking breakrooms at the Lab. Additionally, research, plan, and host internal and external meetings to secure the best prices, selection, and timing to meet attendees' needs and interests. Serve as the Lab's event planner.</p> </li><li> <p>Provide excellent administrative assistance to the Senior Vice President, Drug Discovery (Lab Head) and Director II, Facilities and Operations.</p> </li><li> <p>Provide logistic support to all Lab staff including order placement, vendor relations, travel assistance and training on corporate procurement and expense platforms for smooth running of all non-laboratory activities.</p> </li><li> <p>Prepares and tracks outgoing shipments via express couriers (UPS, FEDEX).</p> </li><li> <p>Provide backup support for the Operations Lab Manager's receiving responsibilities during their absence.</p> </li><li> <p>Other operational responsibilities as identified.</p> </li></ul> <p>KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:</p> <ul> <li> <p>Bachelor's degree or equivalent years of relevant experience required.</p> </li><li> <p>Minimum of 3-5 years of relevant work experience in procurement or administration.</p> </li><li> <p>Strong verbal and written communication skills.</p> </li><li> <p>Ability to multi-task effectively with scientific staff while ensuring timely and accurate results.</p> </li><li> <p>Good attention to detail.</p> </li><li> <p>Able to learn new software with a working knowledge of Microsoft Office including Outlook, Word, Excel, PowerPoint.</p> </li></ul> <p>REPORTING RELATIONSHIPS:</p> <ul> <li>Reports to the Director II, Facilities and Operations. No direct reports. </li></ul> <p>WORKING CONDITIONS:</p> <ul> <li> <p>Commute to lab every workday - must have access to reliable transportation.</p> </li><li> <p>Sitting, bending, reaching, and walking.</p> </li><li> <p>Ability to lift heavy objects (not to exceed 30 lbs.) related to laboratory consumables and deliveries.</p> </li></ul> <p>The above is intended to describe the general content of and requirements for the performance of this job.
