This role is under the direct support of the Senior Administrative Director.</p> <p>The Otolaryngology Division is comprised of 14 Surgeons, 4 Nurse Practitioners, 10 Audiologists, and 5 Speech Language Therapists. There are 11 full time Practice Assistant's that support the daily practices of our clinicians. The role of the Practice Assistant II is to provide administrative support to assigned surgeons and ensure that their practice is functioning appropriately.</p> <p>PRINCIPAL DUTIES AND RESPONSIBILITIES:</p> <p>General Duties and Responsibilities:</p> <ul> <li>Perform duties under moderate supervision with intermediate to advanced proficiency in administrative skills </li><li>Act as a super user for scheduling, registration, and billing systems. Provide training and assistance to others in these areas </li><li>Schedules patient office appointments; coordinating with others as appropriate. Provides information to physician and clinical team as appropriate. </li><li>Refers patients to appropriate hospital departments for registration, referral and financial services as needed. </li><li>Obtains, provides and maintains medical records in support of patients visits, surgeries, and billing other needs. </li><li>Maintains high level of knowledge and skill in the use of appropriate electronic systems to obtain and </li></ul> <p>provide information.</p> <ul> <li>Provide routine and more complex administrative support as: typing memos and letters, answering phones, and taking and distributing messages. </li><li>Coordinate calendar and schedules including: provider meetings, provider clinic sessions and all other calendar management requests </li><li>Maintains surgeons office to include: calendar management, travel, office reception, mail processing, correspondence and reports and related responsibilities of a secretarial nature </li><li>Ensures timely renewal and maintains files of Surgeon's medical license(s), DEA certificate, professional liability insurance, etc. </li><li>Maintains and advanced level of knowledge regarding insurance and billing practices. Attends meetings and educational sessions to secure this knowledge base. </li><li>May schedule OR cases </li><li>Participates in periodical staff meetings and other department meetings </li><li>Cross covers other staff members (breaks, lunches, vacations, leaves etc) </li><li>Assist with special projects as directed. </li><li>Follow HIPAA guidelines for the management of patient privacy and confidentiality </li><li>Other duties, as assigned </li></ul> <p>Qualifications</p> <p>QUALIFICATIONS</p> <p>Level of education required:</p> <ul> <li>Minimum of a high school diploma or GED </li></ul> <p>Work experience required:</p> <ul> <li>Minimum of one year applicable work experience required </li><li>Some additional training in office systems or other post high school education preferred. </li></ul> <p>Technical skills required:</p> <ul> <li>Knowledge of practice operations and standards. </li><li>Ability to problem solve with limited direction </li><li>Effective communication to maintain positive working relationships with Division employees </li><li>Strong customer services skills in a high-volume setting </li><li>Systems skills including Microsoft Office Suite, and EPIC is preferred </li><li>Initiative and ability to work independently and lead/work in teams </li><li>Excellent organizational, analytical and time-management </li></ul> <p>Additional Job Details (if applicable)</p> <p>Remote Type</p> <p>Hybrid</p> <p>Work Location</p> <p>75 Francis Street</p> <p>Scheduled Weekly Hours</p> <p>40</p> <p>Employee Type</p> <p>Regular</p> <p>Work Shift</p> <p>Day (United States of America)</p> <p>EEO Statement:</p> <p>Brigham and Women's Physicians Organization, Inc. is an Equal Opportunity Employer.
