With appropriate guidance, the coordinator supports the work of two frontline gift planning officers by managing calendars, handling preparations for meetings and events, processing business expenses and making travel arrangements when needed. The coordinator also tracks fundraising actions and activities in a donor database and prepares and distributes team reports. The coordinator will provide administrative support of the Phillips Society and Gift Planning marketing and communications program.</p> <p>As a Coordinator, you will work alongside fellow management support professionals, or "MSPs," who hold similar support roles in the department. Development MSPs are talented, dynamic and valued colleagues who serve as partners and collaborators in teams across the department. As a Mass General Development MSP, you will have access to a variety of networking, professional development and leadership opportunities.</p> <p>General MSP Responsibilities</p> <ul> <li>Manage the calendars of assigned individuals, keeping them free of scheduling conflicts </li><li>Coordinate logistics, prepare agendas and other materials, take notes and organize follow up actions for meetings, events, appointments and presentations, troubleshooting issues as needed </li><li>Write and/or review correspondence and other materials and interpret information necessary to draft responses as needed </li><li>Attend to donor, physician and hospital administrators' phone and email inquiries relating to gift-related issues </li><li>Make travel arrangements, prepare travel itineraries and troubleshoot and resolve potential conflicts </li><li>Submit employee expenses and vendor invoices </li><li>Conduct basic prospect identification and research activities, working with Prospect Management and Research colleagues to collect relevant information about donors </li><li>Gather and record data and action items in a donor database, ensuring thorough documentation of fundraising activity and results </li><li>Complete booking forms for gifts and pledges in a timely manner with thorough backup information </li><li>As needed, assist with daily administrative activities </li><li>Participate in professional development opportunities, including taking advantage of shadowing opportunities when appropriate </li><li>Prepare and regularly update progress reports </li><li>Contribute to maintaining positive office morale, even in the face of high work volume and challenging periods </li><li>Assist with recruitment activities as needed </li><li>Take on other office-wide duties at the request of Development leadership </li><li>Adhere to the mission, credo, and standards of behavior of Mass General Hospital </li></ul> <p>Team-Specific Responsibilities</p> <ul> <li>Lead the Gift Planning phone line coverage and closely monitor the Gift Planning email inbox to ensure appropriate coverage and response </li><li>Work closely with the Director, Gift Planning and Assistant Director, Gift Planning Operations to plan and execute the annual Phillips Society Luncheon and, as necessary, manages the coordination of other small donor events. </li><li>Assist the Assistant Director, Gift Planning Operations, with the management of the Phillips Society welcome process. Identify new members and draft welcome letters for prospect manager review. Tracks all correspondence in Atlas. </li><li>Provide administrative and project support to the professional development and marketing programs and other programmatic initiatives. </li><li>Represent the Gift Planning team at regular meetings of the Development Office's Management Support Professionals (MSP) group </li><li>Attend external gift planning training(s) and professional development opportunities to gain an applicable understanding of key planned gift vehicles in order to best assist the needs of the Gift Planning team and colleagues across the Development office </li></ul> <p>Qualifications</p> <p>1-2 years of experience in a customer service or relationship-building role is required.
