To learn more about what the City has to offer please click here.</p> <p>Job Description:</p> <p>Position: Administrative Assistant II</p> <p>Location: City Clerk's Office</p> <p>Date Opened: April 24, 2025</p> <p>Date Closed: May 26, 2025</p> <p>Position Type: Full-time / Benefited / Union</p> <p>Salary: $47,731 - $61,221 (7-Step position)</p> <p>Essential Duties and Responsibilities:</p> <p>The Administrative Assistant II will perform complex clerical duties requiring considerable degree of decision-making ability and knowledge of the department; examine documents for correctness; prepare forms and other documents; compile different types of Vital Statistics with the ability to examine Births, Deaths, Marriages and various types of records received via the online Gateway Vitals Program.</p> <ul> <li>Compile information and submit reports to the Commonwealth. </li><li>Assist the public at the counter, field questions and inquiries, along with email and U.S. Postal and/or other clerical functions. </li><li>Perform assigned Administrative duties such as preparing financial reports and gathering statistics. </li><li>Assist with the preparation of payroll, purchases, and maintenance of personnel records. </li><li>Responsible for preparing Agendas for City Council meetings; </li><li>Responsible to take, transcribe and present in report form minutes of Council meetings and Hearings along with dictation and transcription of correspondence, memoranda and speeches. </li><li>Performs similar or related work as required, as situation dictates or as assigned by the City Clerk. </li></ul> <p>Supervision: Under the general direction of the City Clerk</p> <p>Knowledge, Skills and Abilities:</p> <p>Knowledge:</p> <p>Knowledge of standard office practices and procedures; knowledge of municipal City Clerk Office processes and procedures. Working knowledge of office software, the Internet, and web site technology in support of department operations.</p> <p>Ability:</p> <p>Ability to interact effectively and appropriately with the public and other personnel, perform multiple tasks and maintain confidential information; ability to acquire knowledge of laws and regulations pertinent to position functions; ability to read and interpret documents.</p> <p>Skills:</p> <p>Proficient computer skills, mathematical skills, recordkeeping and clerical skills, written and oral communication skills; strong customer service and organizational skills.</p> <p>Requirements:</p> <p>Education and Experience:</p> <p>Associates Degree in an administrative field or a journeyman's level of trade knowledge; a minimum of three to five (3-5) years of office work experience preferably in a municipal setting; or any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job.</p> <p>Work Environment:</p> <p>The work environment involves everyday discomforts of a municipal office subject to frequent interruptions.
