<p>The Advising and Retention Administrative Assistant/Coordinator provides comprehensive administrative and operational support to the Advising and Retention Center. This is a 12-Month general staff position reporting to the Director of Advising and Retention. The Administrative Assistant/Coordinator plays a key role in ensuring the efficient functioning of daily office activities and maintaining a professional and welcoming environment for students, staff, and visitors. The Administrative Assistant manages communications, scheduling, data entry, and office logistics while supporting departmental initiatives and events. The position requires strong organizational skills, attention to detail, proficiency in Microsoft Office applications, and the ability to prioritize tasks in a dynamic environment.</p> <p>QUALIFICATION:</p> <ul> <li>High School Diploma or Equivalent </li></ul> <p>PREFERRED QUALIFCATIONS;</p> <ul> <li>Associate's Degree or higher </li><li>2 years of related experience </li><li>Intermediate or higher skillset in Microsoft Office </li></ul> <p>DUTIES AND RESPONSIBILITES:</p> <p>Duties and Responsibilities include but are not limited to the following:</p> <ul> <li>Manage the Advising and Retention office email account and phone line; respond to inquiries and direct communication appropriately. </li><li>Manage the student queue system, office traffic flow, and provide general assistance to visitors. </li><li>Train and supervise office student workers. </li><li>Maintain regular communication with the Director of Advising & Retention and Advising & Retention Coaches. </li><li>Schedule meetings, maintain the office calendar, and manage shared documents. </li><li>Order and track office supplies; assist with processing invoices and monitoring expenses. </li><li>Support departmental events, programs, and student success initiatives. </li><li>Perform general administrative tasks such as filing, record keeping, and document preparation. </li><li>Retrieve and distribute mail and packages from the campus post office. </li><li>Perform other related duties as assigned by the Director of Advising and Retention. </li></ul> <p>REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:</p> <ul> <li>Strong proficiency in Microsoft Office 365 and ability to learn institutional software systems </li><li>Excellent written and verbal communication skills with tact and professionalism </li><li>Strong data entry and record-keeping accuracy </li><li>Ability to work independently with minimal supervision </li><li>Effective organizational, problem-solving, and time-management skills </li><li>Ability to manage multiple priorities and meet deadlines </li><li>Must maintain high level of confidentiality </li><li>Professional demeanor with the ability to maintain consistent communication. </li><li>Must interact with students with a warm and welcoming professional demeanor </li><li>Detailed oriented and thorough in completing work tasks </li></ul> <p>PHYSICAL DEMANDS AND WORK ENVIRONMENT:</p> <p>While performing the duties of this job, the employee is regularly required to do the following:</p> <ul> <li>Ability to work in a team-based environment </li><li>Communicate with others in person, phone, and via email </li><li>Sit, use hands to handle or feel, and reach with hands and arms </li><li>Stand, walk, stoop, or kneel </li><li>Must be able to lift up to 25 pounds </li><li>Must have ability to walk, climb stairs, stand, bend, and squat </li><li>Must be able to sit at a computer for up to 7.5 hours per workday with periodic breaks </li></ul> <p>APPLICATION</p> <p>To apply, please submit and attach the following:</p> <ul> <li>Application at www.northwestms.edu </li><li>Resume </li><li>Three (3) Professional References: Name, Organization, Email Address and Telephone Number </li></ul>
