Create and maintain files, compile reports, and manage, store, and disseminate information, ensuring security and compliance of information. Assist in planning department activities, manage meeting calendars, and make travel arrangements. Track expenses, monitor and order supplies, and schedule maintenance repairs. Remain knowledgeable of group / department policies. May make contacts of a sensitive, complex, and confidential nature.</p> <p>Responsibilities</p> <p>Job Functions</p> <ul> <li>Calendaring for providers including out of office communications, meeting coordination with multiple attendees, and conference room reservations </li><li>Provide support to medical staff with Epic pool management </li><li>Answer incoming phone calls, and make outgoing calls to patients, etc. </li><li>Facilitate and monitor Patient Assistance programs/enrollment </li><li>Meeting scheduling, agendas, minutes, and following up on action items </li><li>Update and maintain CVs </li><li>Help coordinate travel and travel reimbursement </li><li>Coordinate IT support and troubleshooting for providers </li><li>Sort and prioritize mail </li><li>Facilitate scheduling and other requests for VIP or high priority patients </li><li>QGenda schedule management for providers </li><li>Perform clerical tasks </li><li>Assist with department projects </li><li>Other tasks as assigned </li></ul> <p>This job description is not designed to contain or be interpreted as a comprehensive inventory of all duties, responsibilities and qualifications required of employees assigned to the job.</p> <p>Work Conditions</p> <p>Nearly continuously: office environment</p> <p>Work Environment and Level of Frequency typically required</p> <p>Nearly Continuously: Office environment.</p> <p>Physical Requirements and Level of Frequency that may be required</p> <p>Nearly Continuously: Sitting, hearing, listening, talking.</p> <p>Often: Repetitive hand motion (such as typing), walking.</p> <p>Seldom: Bending, reaching overhead.</p> <p>Minimum Qualifications</p> <p>Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.</p> <p>This position is patient-sensitive and must fulfill all associated requirements.
