<p>Novo is the next generation of healthcare.</p> <p>Our family of companies integrates innovation, technology, and the highest standards of care.</p> <p>We are people caring for people, one person at a time.</p> <p>Novo Healthnet is currently seeking a Full-time Clinic Care Manager to join our team in Richmond Hill, ON at one of our Affiliate Clinics.</p> <p>The schedule for this position is as follows:</p> <ul> <li>Mondays: 7:30am - 12:30pm </li><li>Tuesdays: 8:30am - 5:00pm </li><li>Wednesdays: 12 pm - 7:00pm </li><li>Thursdays: 10:00am - 6:00pm </li></ul> <p>Summary</p> <p>The Clinic Care Manager is responsible for ensuring the day-to-day operations of the clinic runs smoothly for both patients and staff. The position works closely with a Clinic Director/Clinic Lead and may manage other administrative or support staff. Responsibilities include following standard administrative processes, ensuring revenue and cash receipts reconciliation is completed accurately and timely, and providing administrative support to patients and staff.</p> <p>Core Competencies</p> <ul> <li>High School Diploma, G.E.D. or equivalent </li><li>Excellent customer service skills and telephone etiquette </li><li>High degree of organizational skills and ability to prioritize and multi-task </li><li>A "self-starter" with an ability to work independently and collaboratively in a team environment </li><li>Ability to work in a fast-paced environment </li><li>Strong computer and data entry skills </li><li>Experience in a Physiotherapy or medical clinic an asset </li></ul> <p>Job Duties</p> <ul> <li>Creating an environment that is welcoming and warm to the clients and staff </li><li>Dealing effectively with client inquiries and/or complaints (patient care and resolution) </li><li>Building relationships with all business areas and staff, including admin and clinical </li><li>Management of reception area </li><li>Maintaining Accounts Receivable </li><li>Accurately entering incoming payment and monthly deposit reconciliation </li><li>Ensuring timely entry, accuracy, and completeness of all patient data in the Patient System including intake, assessment, and discharge information </li><li>Timely submission of forms to insurance companies and stakeholders (EHC before MVA- Private clients must pay in full and submit on their own if we cannot bill online). If we can bill online the Care Coordinator will take care of this as each client comes in. </li><li>Ensuring billing codes are correct and submitted in a timely fashion </li><li>Posting of EHC and EHC before MVA statements/payments and WSIB statements/payments (Physical cheque payments will be posted at the had office for ALL file types) </li><li>Expense and petty cash processing and control </li><li>Accounting controls and reporting </li><li>Manage payroll, including accuracy, communications and meeting deadlines </li><li>Distribution of mail </li><li>Daily/Weekly bank deposit postings (direct deposits and other) </li><li>Reviewing and responding to emails </li><li>Meeting with new clients, reviewing insurance plans, and preparing their files </li><li>Assisting clients with paperwork as required </li><li>End of Day reconciliation balance reports </li><li>Provider Pay reports </li><li>Scheduling of the Admin team </li><li>Assisting with vacation or other admin coverage as required </li><li>Office supply orders </li><li>PPN Monthly and other reports </li><li>Audits as required </li><li>Assisting with Inventory reporting </li><li>Assist with and organize doctor lunches or general lunch and learns and marketing initiatives </li><li>Train the Admin team as required (new and current team) </li><li>Assist with the onboarding of the Clinical Team and offer training as required </li><li>Assist with reviews (Clinical and Administrative) as required </li><li>Ensure compliance with health and safety policies are followed </li><li>Assist with Legal File requests </li><li>Ensure budgets and targets are met (monthly/quarterly/annually) </li><li>Monthly Fall Off reports and Assessment reports </li></ul> <p>Novo Healthnet is committed to accommodating people with disabilities as part of our hiring process.
