<p>Responsibilities for this Position</p> <p>P/C Techaid</p> <p>US-CT-Stonington</p> <p>Job ID: 2026-18246</p> <p>Type: Full-Time</p> <p># of Openings: 1</p> <p>Category: Administrative</p> <p>EB Eagle Park Site</p> <p>Overview</p> <p>The successful candidate will be responsible for assisting the Department Manager in the planning, execution, and documentation of the departments tasking, as well as handling varied administrative / logistical job assignments and tasks, including:</p> <ul> <li>Manage at least one department information database, including: </li><li>Run reports and produce data packages from the database(s) in preparation for presentations and reviews, including report compilation and formatting </li><li>Capture action items and interfacing with action item owners to monitor progress </li><li>Consolidate and provide status updates to CLB program office </li><li>Evaluate established process(es) for potential areas of improvement </li><li>Monitor the departments overhead budgets and provide reports to management </li><li>Support monitoring of the departments cost and schedule performance utilizing EBs Earned Value Management System (EVMS) and associated business systems </li><li>Support monitoring, maintaining, and updating of the departments manpower plan and other resource management efforts, including providing reports to management and coordinating hiring and severance </li><li>Prepare and issue technical letters, transmittals, conference reports, meeting minutes and presentations to government and other customers </li><li>Track and report progress on external commitments and technical letters for the department </li><li>Track department IT assets (phones / computers / etc.) and their appropriate contract allocations, as well as processing IT requests for equipment/software addition or removal </li><li>Monitor and status Tracking VIRs with Engineers, Senior and Principals as needed </li><li>Manage access rights for department network drives </li><li>Maintain training schedules, including ensuring all core department training is up to date and in compliance with training requirements and managing the registration of department personnel in non-core training activities as needed </li><li>Schedule, coordinate and sometimes chair team status meetings, give presentations at managements direction and update status on assigned actions </li><li>Participate in off-site and local project meetings and reviews (possibly requiring travel) </li><li>Coordinate and expedite management review and approval of products </li><li>Process travel and expense reports for department personnel </li><li>Complete administrative forms and maintain records in support of departments hiring, transfers and severances including updates to the department organization chart </li><li>Maintain personnel files </li><li>Order and maintain office supplies </li><li>General office support and backup support for other Managers/Directorsas needed </li></ul> <p>This position requires supporting the departments core working hours as defined by the Manager.</p> <p>Responsibilities</p> <ul> <li>Must possess excellent verbal and written communication skills and the ability to deal effectively with people at all levels </li><li>Must have strong administrative and organizational skills with the ability to work with limited oversight, set priorities and handle multiple tasks, exercise professional judgment/discretion in executing tasks and maintain a high level of confidentiality </li><li>Working knowledge of EBs EVMS and demonstrated ability to compile cost and schedule performance reports </li><li>Ability to work flexible hours and adapt priorities as required to support emergent issues / department needs </li><li>Willingness to learn new methods, tools, and processes </li></ul> <p>Qualifications</p> <p>Required:</p> <ul> <li>High school diploma </li><li>5 years experience in an Admin position </li><li>Strong typing skills (45 WPM min) </li></ul> <p>Preferred:</p> <ul> <li>College degree AND minimum 5 years of technical and administrative support experience </li><li>Proficiency with Earned Value Management System and Sharepoint </li></ul>
