<p>Job Description:</p> <p>GENERAL STATEMENT OF DUTIES:</p> <p>Provide administrative support for Facilities & Capital Planning, Environmental Safety, Storeroom, and Power Plant.</p> <p>Please see the full Administrative Assistant series classification specifications.</p> <p>EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:</p> <ul> <li>Enter and edit Facilities & Capital Planning payroll for 70+ employees using the Commonwealth time and attendance system. </li><li>Enter weekly overtime chargebacks to various campus departments for maintainers/trades workers. </li><li>Enter monthly supply chargebacks to campus departments. </li><li>Generate letters to remain in compliance with union and government standards. </li><li>Create/distribute workorder tickets to personnel, and close ticket when completed. </li><li>Contact appropriate vendors for service including, elevators, fire alarms, locksmith, pest control, etc. </li><li>Enter requisitions for department purchases. </li><li>Prepare reports on preventative maintenance and emergency waivers as needed. </li><li>Process invoices pertaining to facilities operations. </li><li>Consults on budget formation and needs, monthly review of departmental budget. </li><li>Process all hiring forms including, hiring justification, vacancy requests, and hire requests. </li><li>Generate yearly contract employee paperwork. </li><li>Issue keys and ID badges to provide access to various buildings for vendors. </li><li>Other duties as assigned. </li></ul> <p>SUPERVISION RECEIVED:</p> <p>Chief Facilities Officer</p> <p>SUPERVISION EXERCISED:</p> <p>May supervise contract employees.</p> <p>WORKING CONDITIONS:</p> <p>Work in a general office setting with the majority of time sitting and working on a computer. The hours of the position are Monday - Friday, 7:00am - 3:00pm.</p> <p>Requirements:</p> <p>MINIMUM QUALIFICATIONS:</p> <p>Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.</p> <p>Substitutions:</p> <p>I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*</p> <p>II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*</p> <ul> <li>Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed. </li></ul> <p>PREFERRED QUALIFICATIONS:</p> <p>Bilingual in Spanish and/or Portuguese.</p> <p>Ability to multi-task and prioritize assignments.</p> <p>Knowledge of Ellucian Banner, Team Dynamix, and/or HRCMS.</p> <p>Additional Information:</p> <p>This is a full-time, non-exempt, benefits-eligible position in the American Federation of State, County, and Municipal Employees (AFSCME) bargaining unit with a union title of Administrative Assistant II.
