<p>Description:</p> <p>We are seeking a dedicated and detail-oriented Facilities Coordinator to join our dynamic health care team. In this vital role, you will be responsible for ensuring the smooth operation, safety, and compliance of our medical facilities. You will coordinate maintenance activities, manage vendor relationships, and support a clean, functional, and patient-centered environment. This position plays a key role in maintaining the high standards of care and operational excellence that define our organization.</p> <p>Responsibilities:</p> <ul> <li>Respond promptly and professionally to incoming departmental calls, ensuring high-quality customer service. </li><li>Manage and monitor tasks within the Maintenance Work Order System, ensuring timely dispatch and completion. </li><li>Coordinate and maintain the preventive maintenance schedule, including updates and distribution to technicians. </li><li>Review and assist with daily timekeeping in Kronos to ensure accurate coding for payroll processing. </li><li>Enter departmental purchase orders into the Epro System and track expenditures using Excel spreadsheets. </li><li>Perform general administrative duties such as filing, scanning, copying, and typing. </li><li>Maintain organized data records and support productivity tracking for the Maintenance Department. </li><li>Collaborate with technicians and vendors to support efficient maintenance operations </li><li>Ensure compliance with departmental procedures and assist in process improvements. </li><li>Support departmental reporting and documentation needs as required. </li></ul> <p>Shifts: This position will be scheduled Monday-Friday, 7 a.m. to 3:30 p.m., but may be subject to work other days/shifts based on hospital needs.</p> <p>Qualifications:</p> <ul> <li>High School diploma or equivalent required and two years experience in a business environment, secretarial or administrative support role </li><li>Continuing education in business skills preferred </li><li>Strong computer skills with working knowledge of Microsoft Office Applications along with working knowledge of Microsoft Excel </li><li>Ability to work independently and be able to multi-task and prioritize, with demonstrated experience working with deadlines </li><li>Excellent communication skills written and verbal with strong customer service skills. </li></ul> <p>Licensure, Certifications, and Clearances:</p> <ul> <li>Must have a valid driver's license </li><li>Act 31 Child Abuse Reporting with renewal </li><li>Act 33 with renewal </li><li>Act 34 with renewal </li><li>Act 73 FBI Clearance with renewal </li></ul> <p>UPMC is an Equal Opportunity Employer/Disability/Veteran</p>
